Motorhome Hire Terms and Conditions These terms and conditions have been devised to protect both the hirer and the operator and are governed by the law in England and Wales. Aleva Leisure offers motorhomes for hire strictly in accordance with the following terms and conditions. By signing these terms and conditions, the hirer agrees legally that they have read, understood and accept the detail of this document Deposits / Payments & Booking Confirmation A deposit of £200 is required to confirm any booking. Once bookings have been completed, you will receive confirmation from Aleva Leisure by email or by post. This will confirm the stated hire period. Early returns do not qualify for a refund. However, you are expected to return your vehicle at the agreed time and location (pick up point). Failure to return your hired vehicle at this time will result in further charges at a rate of 125% of your pro-rata daily charge and this will be taken from your deposit. Please be aware that, in all cases, deposits are non-refundable. The balance of any hire booking, including an extra £300 damage deposit, are payable 4 weeks before the commencement date of your hire, unless hire date is less than 4 weeks away; then payment in full will be required at time of booking. Payment can be made by debit or credit card. However, there is a charge of 3% for credit cards. Cheques will be accepted; however, all funds must be cleared within the time limits above. The booking and damage deposit will be held while the hire commences; this will then become refundable to the hirer once the vehicle is returned and inspected. However, the costs of any damages will be deducted from the deposit. All hirers/drivers must be the age of 25 at the time of booking and have held a full UK driving licence for a period of 24 months to conform to the insurer’s terms and conditions. Copies of drivers’ licences will be requested at the time of booking and a copy will be kept on file for 12 months. Aleva Leisure respects current data protection laws. At the time of collection, the hirer will be required to provide 2 other forms of identification (utility bills etc). Aleva Leisure reserves the right to cancel the hire if the requested drivers’ licences are not received. If the hirer does not conform to this request, then all monies paid will be forfeited. Collection The agreed allotted time is between 2:00pm and 5:00pm. To make the most of your holiday, there needs to be a detailed handover, which includes the hot water system, central heating, electrics, toilet facilities etc. This usually takes around 60 mins. When returning the vehicle, please be mindful that there will probably be someone else due to collect on the same day, so it is important that vehicles are returned before 11:00am to give Aleva Leisure ample time to have the vehicle ready for the next hirer. Late returns are charged at £40 per hour (exceptions can be made if arranged with a member of staff from Aleva Leisure before the commencement of hire). Named Drivers / Passengers Only the named driver(s) in the booking proposal may drive the hired vehicle. Aleva Leisure reserves the right to refuse the handover to any person who they deem unsuitable to drive. In this unlikely event, all hire charges will be refunded. Any additional drivers that do not appear on the booking must gain permission in writing from Aleva Leisure before the hire commences. Aleva Leisure only authorises the use of any motorhome to the stated number of passengers permitted by the number of seatbelts fitted. Safety restraints should be used at all times when the vehicle is in motion. Pets Well-behaved pets are welcome, subject to an additional charge of £50. However, any damage caused by pets will be fully charged to the hirer. Smoking Policy It is against the law to smoke in any hired vehicle in the U.K. This, therefore, is strictly prohibited in all vehicles. What if we cannot fulfil the booking? In most cases, your chosen vehicle will be available. However, in the unlikely event beyond Aleva Leisure’s control that it is not, we will endeavour to find a suitable replacement. If the replacement vehicle is more expensive, Aleva Leisure will pay the difference. Forced Cancellation by Aleva Leisure In the unlikely event where an unforeseeable situation occurs which is unavoidable by Aleva Leisure, whereby your motorhome is not available and no suitable replacement can be agreed or sourced, all monies will be returned in full. However, Aleva Leisure will not be held liable for any additional costs or compensation. Aleva Leisure’s liability will be strictly limited to the return of all monies paid in full. Cancellation If the hirer needs to cancel for any reason, please contact Aleva Leisure immediately. The initial booking deposit is non-refundable; however, if the cancellation is 6 weeks or more before the commencement of the hire, the deposit may be used to secure the booking of another available date. Any time after this, cancellation will result in any deposit being forfeited. Aleva Leisure will also require written confirmation of your cancellation. General Housekeeping & Responsibilities When it comes to looking after your hired vehicle, common sense should be applied. It is the hirer’s responsibility to look after the vehicle for the duration of the hire, including looking after the keys and making sure the vehicle is securely locked when left unattended. Make sure the correct fuel is used; any contaminated fuel would be the hirer’s responsibility and all costs would be borne by you, the hirer. Please make sure you make yourself familiar with the dimensions of the vehicle; respect the conditions of the roads you are using and be aware of any restrictions at all times i.e. low bridges, narrow roads, sharp bends, low branches etc. The hirer is responsible for any damage caused in this manner. It is strictly prohibited to sub-let the hired vehicle to a third party. Failure to adhere to this would result in the immediate cancellation of your rental agreement without any refunds and any damage would be payable by the hirer. You must obtain the permission of Aleva Leisure if any repairs are needed during the hire period, even if you, the hirer, are liable for the costs. If repairs are needed that are the responsibility of Aleva Leisure, then all receipts must be kept to obtain a refund. At all times, you must inform Aleva Leisure as soon as you are aware of a fault. Terms & Conditions of Hire Insurance is only permitted to drivers between the age of 25 and 75 and said driver must have held a full United Kingdom or EU driving licence for a period of no less than 24 months. Insurance Excludes: Persons who have been convicted of an offence in connection with the driving of a motor vehicle or motorcycle, and/or have had their driving licence endorsed or suspended, or penalty points imposed, may not be permitted. Parking offences and two speeding offences, or less, in the past 3 years, will not affect the hire of the vehicle. Persons who have any mental or physical defect or infirmity or suffers from seizures, diabetes or any heart complaint. Persons who have had their insurance declined and/or renewal refused and/or special insurance terms imposed as a result of claims experience and/or have had their insurance policy cancelled by any motor insurer. Persons engaged wholly or partly in professional entertainment or professional sports person. Jockeys and persons connected with racing of any sort. Undergraduates and/or students under 25 years of age. Persons who, whilst driving, have been involved in more than 1 accident in the past 3 years. Foreign Service Personnel, other than persons born in the United Kingdom. Any damage caused to tyres/windscreens that need replacement or repair, are excluded from our insurance and would need to be paid for by the hirer in all circumstances. The hirer will indemnify Aleva Leisure against any personal or third party losses outside the terms and conditions of the insurance policy. Personal Insurance Renting a motorhome is no different to any other holiday, so it is recommended that all parties take out their own personal holiday insurance. It is strongly recommended that this insurance should be extended to cover early termination of your holiday due to a breakdown or accident. Aleva Leisure will not be held liable for any personal claims or losses. Break Downs / Accidents In the unfortunate event of any break down, in the first instance, you should contact the breakdown service that comes with the vehicle. Inform Aleva Leisure immediately after you have contacted the breakdown service. All repairs require permission from Aleva Leisure. In the unfortunate event of an accident, you should take down the names and addresses of all other parties involved (if any) and any witness details (if available). DO NOT admit fault as this is for the insures to decide. You must inform the police if anyone is injured; you must contact Aleva Leisure immediately and complete an accident report form. Please make sure any vehicle left unattended is done so securely.
