1. Your Hire Contract We take full responsibility in providing you with the agreed service described in the signed Hire Agreement, through the hire period including but not exclusive to: providing the booked vehicle in a suitable condition including all legalities, serviceability and cleanliness; procuring or overseeing the required accident, theft and breakdown insurance; managing the ‘hand over’ process including safety and damage inspections both before and after the hire period; checking and recording licences ad identification paperwork on the day of hire. Please read these conditions carefully. By firstly signing and ultimately taking the vehicle you will be deemed to have read, understood and agreed to all these conditions. No additions, alteration or substitution of these conditions shall bind us unless they are expressly accepted in writing by us or a person authorised by us to sign on our behalf. 2. Booking Confirmation and Payment The hire charge is based on the price agreed upon and recorded in writing at the time of booking. An initial non-refundable deposit of 20% of the total hire fee is required to be received to confirm the booking even in a written or verbal booking is agreed. Until such a payment is received we reserve the right to accept the booking of an alternative hirer who has made a deposit payment. A binding contract for the hire will come into existence when we issue your booking confirmation. We are under no obligation to accept any booking. The balance of the hire charge is payable 8 weeks prior to the start date of the hire period or at the time of booking if you book less than 8 weeks from the start date of the hire period. 3. Drivers All drivers must meet the standards as laid out in the Drivers Declaration. You must provide us with all necessary details of all drivers so that we can deal with the insurance requirements of the vehicle during the hire period. Two forms of proof of identity, in addition to your driving licence, must be produced by you at the start of the hire period. Should you fail to provide the necessary information or produce the correct documentation in accordance with this condition 3 the booking may be cancelled under condition 6. 4. Insurance Fully comprehensive insurance for the use in the UK and EU is included within the hire charge. Insurance cover is for the vehicle and equipment only. Personal possessions are not covered; hirers are advised to take out additional holiday insurance. 5. Damage Bond A £500.00 damage deposit/Bond is payable 1 week prior to hire. At the point of hire you will be required to fill in and sign a handover sheet which gives a comprehensive description of vehicle condition at the time of collection. On return the vehicle will again be inspected by you and us and any damage or loses will be noted and reasonable costs will be deducted from the damage bond. If the vehicle is returned in good condition, whole and undamaged, with a clean interior, cooker, oven & empty chemical toilet tank and no other excesses to be charged, the deposit will be refunded within 7 working days. If the hirer is found to have damaged the vehicle by negligence (i.e. no other person or vehicle is involved) the hirer will be responsible for full rectification costs which will be charged against the deposit. Front and rear bumpers, overcab mouldings, roof lights, windows, wing mirrors and external doors are typical components prone to damage by negligence. Failure to return the vehicle in a clean (particularly the cooker, oven & chemical toilet) condition will incur a £50.00 valeting charge & a charge of £50.00 will be made for unemptied chemical toilet tanks. The deposit will also be used against the insurance excess on the insurance policy should it be necessary to claim on the insurance policy. 6. Cancellations a) You should inform us in writing if you wish to cancel your hire. If you cancel your hire then we shall endeavour to re-let the vehicle to another client. If we are able to do so, then you will get a full refund of monies paid less an administration charge, currently £50.00. If we are unable to do so, the Hirer will be liable to pay the administration charge plus costs on a scale proportionate to the length of time before the hire commences, as set out below :- • Exceeding 28 days from hire date = Loss of deposit • Less than 28 days from hire date = Loss of Hire charge We may be able to offer a credit note to offset against a future hire, depending on the circumstances. Hirers are advised to obtain their own cancellation insurance cover to safeguard against such losses. b) We reserve the right to cancel the booking before commencement of hire if the named driver’s licences are invalid or do not comply with the requirements in the terms and conditions or you are unable to provide the required identification documentation. In these cases, you will forfeit the booking deposit and hire charges already paid. We also reserve the right to cancel the hire if you fail to pay the balance at least 8 weeks in advance, the damage deposit is not received, or if for any reason, it is our reasonable opinion that the driver/drivers are not fit to take charge of the vehicle. In these cases, the deposit is forfeited and 50% of the hire charge will be kept. 7. Collection and returns Vehicles are available for collection from Lancashire Motorhome Hire, 8 Balniel Close, Chorley, Lancashire, PR7 2QP between 1400hrs and 1700hrs and must be returned between 1000hrs and 1100hrs unless otherwise arranged in writing. Failure to comply with these will result in the hirer being surcharged at the rate of £25.00 per hour overdue, which may be taken from your damage deposit. No refunds will be given for an early return of the vehicle. Please allow between 30 mins – 1 hour for a full vehicle induction, during which we will demonstrate full, proper and safe use of our vehicle systems and equipment. The hirer acknowledges delivery of the vehicle clean and the contents free from any defect or damage and complete other than as specified by the company on the inventory/damage declaration form. The hirer is advised to check the vehicle thoroughly before leaving the Company’s premises. Upon return we will check the vehicle for damage, cleanliness (particularly the cooker, oven & chemical toilet), etc; including the condition of the tyres and windscreen which are not included in the Company's insurance cover, any such damage is the hirer's responsibility. Please allow up to 20 minutes for inspection and sign-off. Failure to return the vehicle in a clean (particularly the cooker, oven & chemical toilet) condition will incur a £50.00 valeting charge & a charge of £50.00 will be made for unemptied chemical toilet tanks. 8. Liabilities We accept no liability for replacement vehicle costs, travel or accommodation costs or any other consequential loss claims arising from motorhome breakdown or motorhome not being available; fair wear and tear excepted accident or any other such related causes. All accidents and any damage (no matter how minor) to either the exterior or interior including tv/dvd etc must be reported immediately by telephone to Sian Phillipson on 07734232584. This will enable us to order parts etc so that the vehicle can be repaired upon your return for the next hirer. For motor accidents, an accident report form must be completed (in an envelope in the glove box). The hirer shall be liable for all costs and expenses incurred for speeding, parking fines, congestion charges and for any other offences committed against the Road Traffic Act or traffic regulations. The hirer shall be responsible for all overhead damage resulting from any incident; overhead damage is defined from ground to in excess of 6 feet from the ground. Damage to windscreen, tyres and punctures are the responsibility of the hirer. You are required to check the condition of tyres and engine fluid levels on a daily basis. The hirer is required to keep the motorhome under their control throughout the hire period. It must be locked at all times when unattended. The awning must not be left out when you leave the vehicle and must not be used in bad weather. 9. Breakdown In the unlikely event of a breakdown please call us immediately. You can then also call the breakdown service on 0333 333 9711 giving the vehicle registration number. The hirer is authorised to spend up to £100.00 on repairs, this will be repaid on submission of a valid receipt. For repairs costing more than £100.00 prior approval from Lancashire Motorhome Hire must be obtained. 10. Fuel & Gas The motorhome runs on diesel and will have a full fuel tank on collection. The vehicle must be returned with a full tank. Any fuel required on return will be charged at the prevailing rate per litre plus a £25 refuelling charge. You will be liable for any costs if you refuel the vehicle with the wrong fuel! Two gas cylinders are supplied with at least one full, refills are the responsibility of the hirer who should ensure that refilled bottles are the same size and fitting and returned with the vehicle. 11. Animals Some animals are permitted in certain vehicles by prior arrangement. Any damage incurred will be charged to the hirer in full. We charge an extra £20 to take a dog. However, dogs are not allowed on the furniture and their own bed must be used for sleeping. 12. Smoking You are not permitted to smoke in our vehicles. IT IS AGAINST THE LAW. If we suspect smoking has taken place in the motorhome we will charge up to £100 (which will be taken from the damage deposit) in order to conduct a deep clean 13. Availability Whilst we will make every effort to ensure that the reserved motorhome is available, if due to circumstances beyond our control (breakdown, accident, damage on previous hire etc) this is not possible and an alternative suitable motorhome is not available our liability is limited to the refunds of all monies paid by you. 14. Parking Any vehicle that you park at our premises is parked solely and absolutely at your own risk. 15. Agreement By making a booking and paying a deposit the Customer/Hirer is entering into a contract with Lancashire Motorhome Hire and agrees to abide by Lancashire Motorhomes terms and conditions. 16. Complaints Any complaints should be received in writing within 7 days of the vehicle being returned from the hire period. 17. Amendments These terms and conditions may be amended at any time without notice.
