BC Motorhome Rental Term & Conditions Terms and Conditions of Hire 1. Driver 10. Fuel, oil, gas and other consumables All drivers must be between the ages of 25 and 75. All drivers must have held a full UK license for a minimum of 3 years. For some 6 berth vehicles the driver may require the classification C1 on your driving license this allows the driver to drive a vehicle with the gross weight in excess of 3500kg.. This is included on all licenses for those who passed their driving test prior to January 1st 1997. The driving licence of the driver must be presented to confirm the above. The vehicle is supplied with a full tank of fuel and should be returned in the same manner. If the fuel tank is not showing as full then it will be refuelled and the cost of the fuel plus a £150 admin fee will be charged. Two gas cylinders are supplied with each motorhome, one of which will be full. If more gas is required this is the responsibility of the hirer. In any event both cylinders must be returned. 2. Insurance 11. Mileage Comprehensive insurance is provided for one driver as part of the hire agreement. There is a £750 excess which must be paid by the hirer following any incident where an insurance claim is made. Additional drivers can be added at extra cost. There is no charge for mileage. 3. Security Deposit 13. Accidents A security deposit of £750 is taken to cover any damage to the motorhome or damage/breakages of the equipment. When the Motorhome is returned it will be checked over and once deemed to be in a satisfactory condition as agreed, in the same condition it was let out, with toilet empty, interior clean including all cooking appliances and the fuel tank replenished, this deposit is refunded to your credit/debit card within 7 working days. We understand there will always be the odd occasion when it has been impossible to return the vehicle in the same condition as you picked it up, however we believe we operate a fair system to cover our costs in rectifying any problems. BC Motorhomes reserve the right to increase the security deposit for specific events. In the event of an accident the safety of the hirer and their party is paramount. Emergency services should be called first if necessary and the accident dealt with in the necessary manner. Only after everyone involved in the accident is safe should the hirer contact the company if necessary and then try and minimise loss to the company if it is safe to do so. Regardless of how minor the accident may seem, full details of anyone involved need to be noted down in the accident log kept in the vehicle. This is the responsibility of the hirer. If the accident is of a serious nature, causing any damage to the vehicle, another vehicle or third party, then the company must be informed. You are provided with a first aid kit and fire extinguisher. Please do inform us of any use of the first aid kit or fire extinguisher so was can replace these items. Failure do do so may cause a hazard for future hirers. Once again BC Motorhomes request all parties have their own personal travel insurance. 4. Booking Procedure 13. Cancellations A 20% deposit is taken at the time of booking which is deducted from the final invoice amount. The remainder of the hire becomes due 14 days prior to the holiday commencement as does the £750 Security Deposit. If cancelled more than 12 weeks prior to hire date , a full refund will be given. From 6 weeks to 4 weeks prior to hire date - 80% of deposit retained. Less than 4 weeks to hire date - deposit will not be refunded. BC Motorhomes reserve the right to amend our cancellation policy for certain events. 5. Breakdown 14. Collection and return Our vehicles are maintained in accordance with the manufacturers instructions. Full roadside assistance is provided and will be explained at handover. If repairs are required to the vehicle the hirer is able to authorise work up to £100 without reference to the company. Above this amount the company must be informed before any work is undertaken otherwise the hirer will be liable for the full cost. In the event of repairs being effected under £100 ceiling a full invoice and receipt must be obtained and given to the company on return of the vehicle so that the hirer can be reimbursed. BC Motorhomes do request that all hirer's have their own personal holiday insurance. The motorhomes are available to collect from 12:00pm on the day of rental and must be returned no later than 10.00pm on the day of termination. Parking is available free of charge for one vehicle, however this is at the owners risk. Upon return the vehicle will be checked over with the hirer to assess any possible reasons for loss of deposit. If the vehicle is returned early for whatever reason, no refund will be given. 6. Smoking 15. Dogs Smoking inside the motorhome, either in the cab area or in the living area, is strictly prohibited. Dogs will be considered subject to the hirer agreeing to additional cleaning costs. Guide dogs are welcome. 7. Seatbelts 16. Extra Charges Our motorhome is fitted with three point seatbelts. These are to be worn at all times when the vehicle is in motion. Appropriate car seats must be used for children in accordance with the law. It is the responsibility of the hirer to fit any child seats themselves. BC Motorhomes take no responsibility for any ill fitted child restraints or seatbelts not being worn. Toilet Cassette not empty - £150. All cooking appliances, equipment and BBQ uncleaned - £150. Fuel tank unfilled - £150 plus cost of fuel. Valet penalty if returned in unsuitable condition £150. 8. Campsite bookings 17. Holiday Insurance It is the responsibility of the hirer to prebook and confirm all caravan and camp sites they intend to stay at during the holiday. BC Motorhomes take no responsibility for any bookings or cancellations at caravan and camp sites. As with all holidays BC Motorhomes request that you take your own holiday insurance. BC Motorhomes accept no responsibility for and loss or damage to your own personal belongings. 9. Documents Required On arrival at BC Motorhomes you will be asked to show your confirmation email and the drivers licenses of any party who will be driving the vehicle. We will also require another an additional proof of address (i.e a utility bill dated with 3 months) There is now a legal requirement prior to the release of the vehicle. We require a check code from you that can be obtained by clicking the following link https://www.gov.uk/view-driving-licence. You will require your driving licence number, your national insurance number and your home post code to complete. On arrival to collect your vehicle we will need to see your photocard from DVLA. licence and your check code Failure to show these will result in the cancellation of your holiday as no insurance can be provided. No refund will be given. Please bring these documents with you. We endeavour to supply the vehicle which you requested. This may change depending on a availability. However we will supply a vehicle with the required number of berths. I confirm I have read and accept the terms and conditions referred to therein which I fully understand.
