Terms and Conditions These terms and conditions have been devised to protect both the operator (Cumbria Motorhome Hire) and the hirer (you). Cumbria Motorhome Hire offer motorhome hire strictly in accordance with the following terms and conditions. By signing these terms and conditions the hirer agrees legally that they have read, understood and accept the details set out within this document. Deposits, Payment and Booking Confirmation A non-refundable booking deposit of £100 per week is payable to confirm any booking, and this must be paid within one day of making the booking. Once bookings have been completed you will receive confirmation from Cumbria Motorhome Hire by email. The balance of the hire is due six weeks prior to the hire commencing and this will be collected via your preferred payment method. A security deposit of £600 (£1000 Deposit for festivals) will be charged to your credit/debit card normally on the day of the hire, this will be refunded within 7 days of returning the motorhome. Please note the damage deposit has to be traceable i.e. Bacs, cleared cheque, or Paypal. Cash will not be accepted. Cancellation If you need to cancel the vehicle hire for any reason, in the first instance please contact Cumbria Motorhome Hire. If the date of cancellation is more than 6 weeks away from the date of hire, then no more payments will be required, however the initial £100 per week deposit taken at the time of the booking is non-refundable. If the date of cancellation is between 6 weeks and 2 weeks before the date of hire you will be charged 50% of the total hire charge and if the cancellation is between 2 weeks or closer to the date of hire you will be charged 100% of the total hire charge. Forced Cancellation by Cumbria Motorhome Hire In the unlikely situation where an unforeseeable situation occurs, which is unavoidable, whereby your motorhome is not available and no replacement can be agreed or sourced. All monies will be returned in full. However, Cumbria Motorhome Hire will not be held liable for any additional costs or compensation. Cumbria Motorhome Hire’s liability will be strictly limited to the return of all monies paid in full. Collections and Returns Unless otherwise agreed with Cumbria Motorhome Hire, the motorhome will be available on the day of collection from the agreed location at 2.00 pm and must be delivered back to the agreed location by 10.00 am on the last day of hire. Late returns can have a significant impact on the next hire. If you fail to return the motorhome on time you may be liable to an extra charge, typically the charge is £50 per hour or part there of plus any additional costs incurred by the Cumbria Motorhome Hire as a result of your late returning of the vehicle. There are no refunds for vehicles returned early. Named Drivers/Passengers Only the named driver(s) on the booking confirmation form may drive the hired vehicle. Cumbria Motorhome Hire reserves the right to refuse to handover the hire vehicle to any person who they deem un-suitable. In this unlikely event all hire charges will be refunded in full but otherwise Cumbria Motorhome Hire shall have no further liability. Any additional drivers wishing to drive but that do not appear on the booking confirmation must gain permission in writing from Cumbria Motorhome Hire before the hire commences. The number of occupants in any hire vehicles will be limited to the number of seatbelts fitted in the vehicle. Safety restraints should be used at all times whilst the vehicle is in motion. Terms and Conditions of Insurance Insurance is only permitted to drivers between the age of 21 and 79 and must have held a full driving license for a minimum of 24 months. For any speeding endorsements of more than 6 points Cumbria Motorhome Hire will need to obtain permission from the insurer prior to the commencement of any hire period. Visitors from abroad will require a current driving license within the same parameters. Drivers can have no more than one fault or non-fault claim within a 5 year period. The hirer will indemnify Cumbria Motorhome Hire against any personal or third party losses outside the terms and conditions of the Insurance policy. Agree to drive obeying the Highway Code at all times. Agree not to drive the vehicle whilst under the influence of alcohol or drugs. The Vehicle is insured for damage to the Vehicle and the property of a third party; but does not include any personal insurance for the customer (including death or bodily injury to the driver) or cover any personal possessions. In the event of any damage to either the vehicle or third party property, the hirer will be liable for the first excess. The hirer will also be fully liable for all overhead damage, any damaged deemed as gross negligence and replacement or repair of windows and windscreens or tyre damage. Excess charges are as follows: Aged 21 and 22 - £1000 Aged 23 and 24 - £750 Aged 25 upwards - £600 Extra Charges Additional driver £25 European insurance - £12 per day Personal Insurance As already mentioned, renting a motorhome is no different to any other holiday, so it is recommended that all parties take out their own personal holiday insurance. It is strongly recommended that this insurance should be extended to cover early termination of your holiday due to a breakdown or accident. Cumbria Motorhome Hire will not be held liable for any personal claims or losses. Theft of customers’ personal property is not included in the hire vehicle insurance policy. Customers vehicles can be parked free of charge at our vehicle depot for the duration of the hire period. The customers’ vehicle is parked entirely at their own risk. Break Downs / Accidents In the unfortunate event of any break down, in the first instance you should contact the breakdown service that comes with the vehicle. Inform Cumbria Motorhome Hire immediately after you have informed the breakdown service. All repairs require Cumbria Motorhome Hire permission. In the unfortunate event of an accident, you should take down names and addresses of all other party's involved (if any) and any witness details (if available). Do not admit fault as this is for the insurers to decide. You must inform the police if anyone is injured, you must contact Cumbria Motorhome Hire immediately and complete an accident report form. Please make sure any vehicle left unattended is done so securely. Pets Household pets are permitted at extra cost subject to prior agreement at the time of booking, any damage caused by pets to the motorhomes will be fully charged to the hirer. Smoking Policy It is against the law to smoke in any hire vehicle in the U.K. Smoking is therefore strictly prohibited in all vehicles and awnings even if the hirer is abroad. Should this be breached there will be a charge payable by the hirer of the full damage deposit of £600. Extra Charges All motorhomes will have a full tank of fuel on the collection day and we expect that they are returned with a full tank of fuel, a £15 refuelling charge (plus the cost of the fuel) will be charged by Cumbria Motorhome Hire if the tank is not full upon return (excluding usage from nearest fuel station to drop?off?point). The motorhomes should be brought back in a clean and reasonable manor. Any cleaning/valeting not deemed normal usage will be charged by Cumbria Motorhome Hire at the rate of between £40-£85. In all instances, damage to the interior, excluding fire, will be chargeable to the hirer. Any damage caused by fire will be covered by insurance, however, the first excess is payable by the hirer, in line with the insurance terms and conditions. Failure to empty the cassette toilet will result in a £50 charge by Cumbria Motorhome Hire, there are facilities to do this on our caravan park where the motorhomes are collected and returned. The hirer is responsible for any parking/speeding or other traffic offences during the hire period; Cumbria Motorhome Hire will inform the relevant authority of the named hirers for that period. Cumbria Motorhome Hire will not accept any liability for fines or endorsement or any court costs for such offences. A £600 damage waiver deposit is payable by the hirer to Cumbria Motorhome Hire before hire commences, and the hirer agrees that any damage claims that fall outside of the insurance terms and conditions including the insurance excess, including any extra charges payable will be deducted from the hirers deposit upon return. Deposits will be refunded to the hirer normally within 7 days of the return date. If the vehicle has sustained damage Cumbria Motorhome Hire will retain the security deposit until such time as estimates for the cost of repair have been obtained, this can take up to 2 weeks. Cumbria Motorhome Hire reserves the right to alter and amend these terms and conditions as they see fit and/or necessary. Hirers will be informed of any change to the terms and conditions before the commencement of their hire. Please only sign this form if you have both read and agree to the terms and conditions.
