Your Agreement with R&J Campers Please read this Agreement carefully. It is the hirers responsibility to familiarise themselves with its terms including their responsibilities and liabilities under this agreement. If there is anything you do not understand or you have any concerns in relation to the Agreement, please raise this with R&J Campers prior to commencement of hire period. On handover of the campervan you are accepting these terms and conditions in full. Reservation confirmation and payment To make a reservation 25% of the hire cost will be required as deposit; this is non-refundable and enters you into a binding contract for the hire. The balance of your hire price is payable six weeks before commencement of your hire date, or at the time of the booking if travel is due to start within six weeks. Any documentation requested by R&J Campers must be supplied prior to the start date of the hire or within 48 hours of booking if less than six weeks before the start of the hire. Failure to provide full payment and any documents as above will result in the booking being cancelled with the loss of your deposit. Driver restrictions and responsibilities For insurance purposes there are non-negotiable restrictions on the hire – please ensure you are able to meet these before paying the deposit. Drivers must: Be aged between 25 and 70 years of age and have had a full driving licence valid for the relevant vehicle for a minimum of two years prior to the commencement of the hire; Have no more than six penalty points; Have no other endorsements on your licence; and Have had no more than one fault accident in the past three years. It is your responsibility to notify R&J Campers if you receive any points or endorsements after your reservation is made as this may affect your hire additional insurance charges. If alternative arrangements cannot be made and the notification is more than six weeks before commencement of hire, the hirer will forfeit a maximum of their deposit; if notification is made within the six weeks prior to commencement of the booking then this will result in the forfeit of 75% on monies paid. The price quoted is for one ‘main’ driver. Additional drivers will incur a charge of £25 per hire and must produce the same documents as the main driver. All drivers will need to obtain a ‘licence check code’ 21 days prior to hire commencement as this allows the sharing of your driving record to confirm the information you have provided is correct. If there are any breaches of the above conditions, then your Agreement will be terminated with all monies paid will be forfeit. Documentation to be produced Full UK driving licence Proof of address, dated in the last 90 days from two of the sources below Council tax bill/statement Utility bill Credit Card/Bank Statement (not financial details just proof of address and date) Cancellations Please contact R&J Campers as soon as possible in the event that you wish to cancel your reservation as soon as possible as this will improve the chances of re-hiring and potential reimbursement of monies received. Cancel up to 14 days before check in date and get a full refund of the hire price. Cancel within 14 days of your check in date and 50% of the hire price will be refunded. If you arrive and decide to finish your rental early, there is no refund. In order to mitigate your risk, R&J Campers strongly recommends that the hirer takes out their own travel insurance at the point of booking. Conditions for using the vehicle The campervan must only be driven by the hirer and any other driver on the hire agreement. The hirer or other authorised drivers must not: Use the vehicle for hire or reward Drive on any road/surfaces other than sealed tarmac/hard standing or solid ground User the campervan for illegal use Use the campervan for racing, pace making, testing the vehicle’s reliability and speed or teaching someone to drive or for stop/start events such as use as a support vehicle for cycling tours etc Drive on beach or bogged grass/fields or submerse in water/sea water Use the vehicle under the influence of alcohol/drugs or prescription medication which effects driving ability Drive the vehicle outside Wales, England or Scotland without written permission Overload the vehicle beyond 3500Kg Carry on board corrosive or flammable products to include fireworks Hide or conceal any damage that has occurred by the hirer to any part of the vehicle especially where damage may not be easily visible The total number of persons to be carried is two, this is limited to the number of belted seats which is a legal requirement. You must not carry anyone that is not using a seat belt. Security Bond A Security Bond of £1000 (£1500 for festival hire) is payable by cleared funds three days prior to collection of the campervan. The hirer agrees that the security bond is payable in full as a condition of hire, payment to be paid to R&J Campers. The Security Bond will be held on a credit/debit card in the driver’s name for the duration of the hire. The Security Bond will be retained by R&J Campers, if on return of the campervan it is deemed that damage or losses have been incurred. IN the event of damage or losses an appropriate sum will be deducted from the Security Bond to cover the cost of repairs, replacements or any insurance claims excess. In the event of a, the hirer agrees that R&J Campers will hold the Security Bond until the claim or dispute is settled. In making settlement, the amount for the repair/s or item/s will be made clear to the hirer, with any balance from the Security Bond will be refunded after cost. In the case of a non-fault accident the damage excess will still be deducted from the security bond and any monies recouped from third parties would be repaid to the hirer once settled. R&J Campers strongly recommend you take out your own personal hire excess insurance to cover any potential liabilities relating to Security Bond – this can be arranged at relatively low cost via a number of suppliers. Suitable persons R&J Campers has the right to refuse to handover of the campervan to any person they reasonably deem not suitable to take charge. In this event the reasons will be discussed with the hirer and any monies paid will be refunded less the deposit. R&J Campers will have no further liability. Collection and delivery Unless otherwise agreed with R&J Campers, the campervan will be available from the agreed location at 15:00 hours on the start date of hire and must be returned no later than 11:00 hours on the last day of hire. Please allow up to one hour for the handover of the vehicle on collection and up to one hour on return for the post inspection and for you to gather all personal belongings. The campervan should be returned in the same clean and tidy condition as the handover, toilet cassette emptied and clean, wastewater emptied and a full tank of diesel. If this is found not to be the case on inspection than an additional charge will be made to cover the cost. These are as follow: Cleaning of toilet cassette £15 Empty of wastewater £5 Additional cleaning required to internal areas - £50 to include oven and bathroom Refill of diesel – this will be filled at the filling station local to us prior to completion of the handover and charged accordingly with an additional labour charge of £15 Early Collections If you would like to collect the campervan earlier than the stated collection time above, R&J Campers will try to accommodate subject to availability, this can be confirmed 48 hours prior the hire commencement. Late returns Please be mindful of the travel time required to be able to return the campervan by 11:30 hours, as unless otherwise agreed, you will be liable for an extra charge of £30 per hour for the first six hours and £200 per day thereafter. There are no refunds if you return the campervan early. Late returns can have a significant impact on the next hirer, impacting the time required for preparation and changeover. R&J Campers may be able to accommodate a pre-arranged late return up to 17:30 hours subject to availability and negotiable late return charge. Please note for insurance purposes all pre-arranged late returns must be requested prior to commencement of the hire period. Personalised delivery and collection R&J Campers, offer a personalised service delivery of the campervan to your home address on the first day of the hire and collection on the last day of the hire period. This will be offered within a 100-mile radius from Pembrokeshire along the M4 corridor, we would consider other areas on a one to one basis. There will be a charge for this which will be discussed and confirmed at the time of request. Collection of the campervan by R&J Campers Ltd If you are unable to return the campervan and do not have a pre-agreement in place for collection there will be a charge of £40 per man hour plus further charges of £0.60 per mile for the campervan and £0.45 per mile for any support vehicle in returning the campervan to R&J Campers in Pembrokeshire. These charges will apply for all travel (both outward and return) in connection to the collection and return. Pick up/drop off service – Train Station If you are travelling by train to collect the campervan, R&J Campers offer a courtesy service of collection from Haverfordwest or Johnston train station on the first day of hire and return on the final day of hire. Events beyond R&J Campers Ltd control Events beyond the control of R&J Campers (an Event) may occasionally impact on reservations. Such Events refer to any circumstance(s) which R&J Campers could not, even with due care, foresee or avoid, and cannot be responsible for. If such and Event were to result in the delay to the start of the hire period (up to 24 hours) the hirer will be kept up to date and all efforts made to make the vehicle available as soon as possible with refund made pro-rata for any time lost. l be refunded in full and 10% discount on a future reservation. The hirer will be kept up to date if there will be a delay to the start of their hire due to an event out of our control, no compensation will be paid if we are able to fulfil your contract of hire on your due date of hire. Any restrictions to the hire due to events out of our control will be discussed with the hirer at the time of handover. Pets Pets are allowed in the campervan with agreement in advance with R&J Campers Ltd, there is no charge for one dog. If no permission is obtained and it is determined that pets were carried in the vehicle during the hire R&J Campers Ltd reserve the right to make an appropriate charge. At no time should pets, be left unattended in the campervan or allowed onto the seating/bed area. The hirer would be responsible for any cost of damage or extra cleaning required for transporting a pet. Smoking Smoking/vaping in the campervan is strictly forbidden, any infringement will incur a minimum cleaning cost of £500. Bed linen and towels A king size quilt, quilt cover, flat sheet, two pillows and pillowcases are included in the hire rates. Also included are two bath towels, two hand towels, two face cloths and two tea towels. Conditions for using the vehicle The campervan must only be driven by the hirer and any other driver on the hire agreement. You must not carry anyone that is not using a seat belt. Charges Charges are based on R&J Campers Ltd hire rates at the time of making the reservation. You will be charged for: The rental and any other charges worked out according to this agreement A charge for any loss or damage to the campervan including that caused by neglect, misuse, accident or not your fault, subject to the cover provided by the insurance Any charges for loss or damage resulting from the hirer not keeping to the terms and conditions Return condition not applied to toilet cassette, wastewater and fuel Cleaning of toilet cassette £15 Empty of wastewater £5 Refill of diesel – this will be filled at the filling station local to us prior to completion of the handover and charged accordingly with an additional labour charge of £15 All driving offences fines and cost (including court cost) for parking, traffic or other offences, congestion charges and any cost which arise if the campervan is clamped or towed and stored There will be an additional administration charge payable of £35 for each letter sent to the hirer on any of the above The campervan has a tracker fitted and is monitored 24/7, also has data logging technology for speed and driver behaviour Charges must be paid within 28 days or interest will be charged with a daily rate of 4% The hirer is responsible for all charges, even if you have requested someone else to be responsible for them Any other fees/charges incurred by R&J Campers Ltd as a result of breach of the terms and conditions Daily rental period cost for any loss of hire if the campervan cannot be hired for accident repairs as a result of damage caused by the hirer, to a maximum of five days In the event of a break in or theft of the vehicle the insurance excess is £750. If the vehicle is stolen, it should be reported to R&J Campers Ltd immediately. This should also be reported to the police immediately and a crime reference number should be obtained. Personal belongings are not covered on the campervan insurance, we recommend that personal holiday insurance is taken out Any charges relating to the loss/replacement of keys and any lock smith charges Your responsibilities You are responsible for the vehicle for the rental period, you must always lock the vehicle when you are not using it You must never leave the keys in the vehicle if it is not attended You must protect the vehicle against bad weather which can cause damage, especially the awning (this must not be used in windy conditions) You must ensure you use the correct fuel If you need to refill the gas tank, you must follow the step by step instructions in the booklet provided You are responsible for any damage to the vehicle caused by hitting low level objects, such as bridges and branches You must not dispose, sell or rent the vehicle or any of its parts You must not give anyone legal rights over the vehicle You must not let anyone work on the vehicle without the consent from R&J Campers Ltd If consent is given, any monies paid by the hirer will be repaid by R&J Campers Ltd on the production of the receipt for the work that was authorised You must inform R&J Campers Ltd as soon as possible if there are any faults with the vehicle The hirer must return the campervan at the end of the hire period to the agreed location by the agreed time and will remain their responsibility until handover On return R&J Campers Ltd will check the vehicle to make sure it is in good condition; you will be responsible to pay for repairs if: The vehicle requires more than the standard internal clean, including, but not limited to upholstery, furniture, bathroom, floors, cab etc You have damaged the vehicle in any way, inside or out What to do if you break down If the breakdown is caused by misfuelling they will be a charge taken from your security bond. R&J Campers Ltd will provide full breakdown cover for your hire period with details in your welcome pack. In the event of a breakdown you should contact the breakdown company first and then inform R&J Campers Ltd. What to do if you have accident In the event of an accident, you must contact R&J Campers Ltd immediately who will assist with insurance details and any support required for recovery. You must not admit any responsibility and please do not arrange any collection of the campervan until permission is granted by R&J Campers Ltd. If you arrange collection or other help without permission the hirer will be responsible for all cost. It is your responsibility to get all names, addresses, contact numbers for everyone involved including witnesses, this must include other parties insurance details. You should also: Make sure all passengers are safe and the vehicle is secure Inform the police straight away of any injuries or if there is a disagreement over who is responsible If appropriate and safe to do so take photographs and gather information for the accident form, you will be responsible for assisting R&J Campers Ltd in handling any claim that arise Windscreen/windows and tyres You are responsible for any damage cost repairs to the windscreen, windows, roof lights and tyres during the period of your hire. You must contact R&J Campers Ltd to inform them of any damage or repair required before any work is commenced. Damage to the windscreen You must contact R&J Campers Ltd who will arrange for this to be repaired/replaced and the excess will be taken from the hirer’s security bond Damage to any windows or roof lights In the event of any damage to the windows or roof lights please notify R&J Campers Ltd as soon as possible for advice, and cost related to the damage will be taken from the hirer’s security bond Punctures Although there is a spare wheel and jack within the vehicle, we advise that the breakdown company is called to assist with the changing of the wheel. You should notify R&J Campers Ltd as soon as possible to inform them of the puncture. It will be your responsibility to have the puncture repaired before you hire period expires Hirer’s cars If you leave a car with R&J Campers Ltd for the period of your hire, there will be no charge however this will be at the risk of the hirer. R&J Campers Ltd accepts no responsibility for any theft or damage, however incurred. R&J Campers Ltd recommends that you take out your own personal holiday insurance policy as you would with any other holiday to cover all eventualities such as protection pf personal belongings, injury, public liability etc. It is also advisable to take out excess hire insurance to cover the hire period.
