Sheffield Camper Van Hire Home is where you park it Terms & Conditions Version 1.1 / 01/01/2021 These pages contain important information you will need to know when hiring from Sheffield Camper Van Hire. You are required to read these pages thoroughly prior to booking. This forms the rental agreement between Sheffield Camper Van Hire and the person / persons signing to accept these terms and Conditions (thereafter named the hirer(s) / traveller(s). The hirer(s) / travellers will be required to sign a hard copy of this document before the vehicle is handed over, which is legally binding that will be governed by English Law. All disputes arising as a result of these rental conditions, will be dealt with by a competent court in Sheffield. 1. Definitions a. Driver(s): the person who has been specified by Sheffield Camper Van Hire or traveller / hirer as the Driver of the Rental; b. Sheffield Camper Van Hire: Operating under Born Identity Ltd at 147 Meadow Gate Avenue, Sothall, Sheffield, S20 2PQ, registered under UK business number 10968545; c. Verifications: identity verification and / or vehicle verification carried out by Sheffield Camper Van Hire and / or the Insurer; d. Sheffield Camper Van Hire: the Company who is the rightful Owner of the Rental vehicle; e. Excess Risk: the amount per incident that the Traveller is liable for in case of Breakdown or Damage. The amount is stated on the Booking Overview. f. Rental: the Owner’s Camping Vehicle that is hired by the Traveller;
 g. Traveller / Hirer: the person(s) who hires the Camping Vehicle from Sheffield Camper Van Hire;
 h. Rental Agreement: the agreement that is established between Sheffield Camper Van Hire and Traveller; i. Rental Period: the length of the Rental Period of the Rental;
 j. Rent: the price for the use of the Rental during the Rental Period as set by Sheffield Camper Van Hire;
 k. Inventory List: an overview of the Rental’s inventory at the start of the Rental Period;
 l. Breakdown: breakdown or damage of the Rental howsoever arising making it irresponsible/unsafe/impossible to continue driving the Rental and which are registered with the appropriate roadside assistance provider;
 m. Repair Costs: costs that are incurred in the event of Breakdown, in order to return the Rental to the same condition as prior to the Breakdown. Proof of such Repair Costs are purchase receipts for replacement parts and materials as well as repair invoices that meet the local legal requirements for tax receipts. Labour costs can be included as repair costs provided they have also been specified in an invoice meeting local legal specifications and said invoice is issued by a company registered with the Chambers of Commerce;
 n. Booking Overview: the Booking Overview is made available by Sheffield Camper Van Hire to the Traveller immediately after the payment has been made, or a revised Booking Overview which both the Traveller and the Sheffield Camper Van Hire have agreed upon in writing has been made available;
 o. Damage: damage (other than a Breakdown) to the Rental howsoever arising during the Rental Period. Damage does not include: wear and tear of parts that normally last less long than the vehicle itself, unless caused by negligent behavior on the part of the lessee. p. Insurer: the insurance company through which the Sheffield Camper Van’s Hire Vehicle is insured for rental;
 q. Website: the platform that is accessible via www.sheffieldcampervanhire.com and all future Sheffield camper van hire websites and underlying pages r. Listing: the publication of details about any the Camping Vehicle on the Website.
 s. Security Bond: an amount per Rental paid by the Traveller against which may be offset any additional expenses incurred during the Rental Period. 2. General 2.1 These rental conditions apply to the Rental Agreement 2.2 Deviations from these rental conditions are only valid if agreed upon in writing 2.3 If one or more of the terms in these rental conditions are void or become void, the other terms of these rental conditions remain valid. The void or voided terms will be replaced, whereby the purpose and intent of the original term(s) will be taken into account as much as possible 2.4 Sheffield Camper van hire reserves the right to change the rental conditions and to declare the amended rental conditions applicable to the existing agreements. Changes will be announced in writing or by e-mail and will take effect 20 days after the announcement. 2.5 f the vehicle is equipped with a vehicle tracking system, Sheffield Camper Van Hire is obliged to make this known to the Traveller, and the Traveller is then assumed to be aware and in agreeance with this. 3. Booking & Payment 3.1 To secure the rental of our camper van a booking deposit of £200 must be paid at the time of the booking. Sheffield Camper Van Hire reserves the right to accept other bookings for any period of travel, until such time that a down payment has been paid by the traveller to reserve a vehicle for rental 3.2 Six (6) weeks prior to the commencement of the rental period the balance of the rental cost must be paid. Where bookings are made within the 6 weeks prior to the hire period then the full rental cost must be paid at the time of booking 3.3 Twenty-four (24) hours prior to vehicle collection a security bond of £1000 will need to be BACS transferred to the owner. This is fully refunded provided the vehicle and its contents are returned in the same condition they were released to the traveller(s) / hirer(s). We shall refund your security bond within seven (5) working days from the end of the hire period (usually by the following day). Please note that any damage to the vehicles exterior or interior will be deducted from the security bond accordingly 3.4 In the event you have caused damage to the camper van and/or its equipment you must notify us as soon as practicable and no later than the return handover. 3.5 If the driver/hirer/traveller has a Road Traffic Collision in one of our campervans they must notify Sheffield Camper Van Hire immediately or as soon as safely practicable prior to your return handover 3.6 The security deposit is fully refundable when you return the hire vehicle as follows: To the agreed location no later than the agreed date and time i) In the same condition as it was hired ii) With the interior clean, including all cooking appliances (cleaning aids provided) iii) With a full tank of diesel fuel iv) Within the agreed mileage allowance 3.7 Sheffield Camper Van Hire will send a final invoice within 10 working days, after the end of the Hire Period, and refund the Security Bond to the Traveller, minus any additional costs owed by the Traveller, assuming that a) no surcharges have been filed or all surcharges have been accepted by both parties and b) no Damage has occurred during the Rental Period. 3.8 If Damage has occurred during the Rental Period, then Sheffield Camper Van Hire will send a final invoice within 10 working days of the costs arising from that Damage being determined by Sheffield Camper Van Hire Owner and Insurance companies (if applicable). Sheffield Camper Van Hire will then refund the balance of the Security Bond to the Traveller, minus any additional costs owed by the Traveller. 3.9 In the event that the amount owed by the Traveller as a result of Damage, Breakdown or howsoever arising exceeds the amount of the Security Bond the invoice issued pursuant to above will be payable by the Traveller within 14 days of issue. 3.10 To avoid unnecessary banking fees from the likes of credit cards or PayPal transactions, we require all payments to be made via bank transfer (BACS) 3.11 Payments must be made for the correct amount and in the right currency 3.12 If any extra charges or expenses are incurred during the Rental Period, those charges and expenses will be charged to the Traveller after the Rental Period has ended. Such charges and expenses that could be charged to the Traveller include:
 a. Loss of or damage to the Camping Vehicle as a result of failing to comply with this Rental Agreement or howsoever arising;
 b. Extra Rent as a result of late return of the Rental c. Repair costs or replacement costs in the event of damage, up to the maximum excess of the Insurance Policy per incident;
 d. Tolls and fines incurred by the Traveller with the Rental during the Rental Period;
 e. Extra mileage;
 f. Fuel costs if the Rental has not been returned with the same amount of fuel in the tank;
 g. Cleaning costs of up to a maximum of £250, -, with a going rate of £10,- per 15 minutes of work, except when it is evident that professional cleaning services are needed. If this is the case, Owner is entitled to charge such additional cleaning costs as are reasonable in the circumstances.;
 h. Administration costs as described and
 i. other additional costs (if notified in advance).
Sheffield Camper Van Hire will provide reasonable proof of these costs upon request by the traveller.
 3.13 Sheffield Camper Van Hire can use the security bond to capture the costs outlined above from the Traveller. If the security bond is not sufficient, the extra costs will be invoiced to the Traveller separately. Traveller will be required to pay such costs within 7 days. 4. Extending or shortening the Rental Period 4.1. The originally agreed upon Rental Period can be extended when both the Owner, as well as the Traveller agree on the amendment directly. The extension is authorised if Sheffield Camper van hire agrees to the extension and the Traveller has paid for the extension before the extension commences.
 4.2. In accordance with the Rental Agreement, Sheffield Camper Van Hire has the freedom to refuse an extension request. If the Traveller does not return the Rental on the agreed end date of the Rental Period, the Traveller will be liable for the costs as described in this agreement 4.3 Sheffield Camper Van Hire will not demand early return of the Camping Vehicle by the Traveller, unless: (i) the Traveller explicitly agrees to this and the Camping Vehicle is returned at an agreed upon time and place, at which time a refund will be given for unused days pro rata to the Traveller (ii) Sheffield Camper Van Hire can prove that the Traveller is guilty of misuse as defined in this agreement, in which case the Traveller is obliged to follow the Owner’s instructions and drive back via the shortest reasonable route to the Owner and return the Camping Vehicle. No refund will be given for unused days in this case. 4.4 If the Traveller wishes to return the vehicle early, this is to be done at a time and place agreed upon by Sheffield Camper Van Hire. No refund for unused days will be issued by Sheffield Camper Van Hire. 5. Collecting and Returning the Camper Van 5.1 Parking is offered to the hirer(s) / traveller(s) free of charge at the owners premises for the duration of the rental period at the owner risk. 5.2 We need to show you all the features of the campervan, therefore it is essential for us to give you an introduction when you collect it. This will normally take about 45 minutes. 5.3 Where at all possible, we will supply the campervan at a time to suit you. However, without prior agreement with the owner, the vehicle is to be collected between 15:00 – 18:00 and returned between 10:00 – 12:00 hours. Hirer(s)/Traveller(s) that return on a Friday or before a Bank Holiday must be returned in the morning, before 11am. 5.4 The Traveller must return the Rental to the agreed place and time on the agreed end date of the Rental Period, as described in the Booking Overview. 5.5 In the event that a representative from Sheffield Camper Van Hire is not available at the agreed place for the hand-over of the Rental, the Traveller is expected to record the condition of the Rental using the transfer form. This must be done in a true and fair way. 5.6 If Sheffield Camper Van Hire asks a third party to hand-over the Rental, Sheffield Camper Van Hire must inform the Traveller in writing. This information must include the name of this person. These rental conditions remain applicable to the Traveller. 5.7 As we carefully plan the times for collections and returns around customers, please return the campervan at the time indicated and agreed by us at the time of booking. A penalty of £50.00 per hour is payable for returning the vehicle late, without prior arrangement. Should the late return of the vehicle make us liable for extra costs (e.g. compensation of the next hirer(s)/Traveller(s)), we reserve the right to pass on these costs to you, deducted from your deposit. Often the Campervan is going out shortly after it returns, therefore lateness could affect the next customer’s holiday. Returns after 6pm will be charged at a full extra day’s rental. 5.8 No refund is given for the early return of a vehicle unless it is as a result of the conditions detailed under the cancellations. 5.9 At the discretion of the owner, if the camper van is returned in a filthy condition, we reserve the right to charge. The Traveller must clean the Rental’s interior and empty waste and water tanks and return the Rental in the same condition as it was on pick-up. 5.10 Additional cleaning costs up to a maximum of £250, -, with a going rate of £10 - per 15 minutes of work, except when it is evident that professional cleaning services are needed. If this is the case, then we are entitled to charge such additional cleaning costs as are reasonable in the circumstances. 5.11 If the Rental is not returned for reasons other than a Breakdown, any repatriation costs will be charged to the Traveller. 5.12 If the Traveller deliberately fails to mention damage(s) caused to the Rental, the costs for the expertise, claims handling and additional administrative actions (such as reporting to the police for fraud) will be at the Traveller’s expense. 5.13 If the Traveller does not return the Rental, Sheffield Camper Van Hire will call the police and all evidence will be transferred to the police. All direct and indirect costs, including lost rental income, will be at the Traveller’s expense. 6. Identification Required when Collecting the Vehicle a.Valid UK Driving Licence – plastic card & Share my Driving License Code (*see below) b.Non-UK Licence Holders – International Driving License or International Driving Permit (Refer to driver and insurance requirements below) Credit or Debit Card Two proofs of address; Ideally 1 bank statement and a utility bill dated within last three (3) months / ninety (90) days and within three (3) months of the hire should be presented to Sheffield Camper Van Hire. It should show the same name and your current address as shown on your Driving License. The above applies to additional drivers as well. *You will need to bring your driving license, and the two recent documents with your address on. Since the abolition of the paper part of your driving license, you now need to generate a one time passcode that you will need to pass to us at the point of handover to allow us to check your driving license (The code only last 72hrs, so best to do it 24hrs before you are due to collect). A web link to the share driving license service is https://www.gov.uk/view-driving-licence. It is important to note that you will need your national insurance number to use the service. It is mandatory for us to complete this check and will be unable to release the campervan to you if you have not generated the code for us to check. 7. Cancellations 7.1 All deposits are non-refundable, unless there is a national lockdown as a result of the COVID-19 pandemic. In that case, the deposit and any other monies paid for the hire will be refunded in full or the hirer(s)/traveller(s) can choose to move the hire to a different date (subject to availability). If the dates are changed to a higher peak season then there may be an additional charge. 7.2 If the hirer(s)/traveller(s) cancels within 6 week from the start of the hire date (when all monies must have been paid) the full amount will be retained, unless the cancellation has resulted from a COVID 19 lockdown. 7.3 In the unlikely event that the van is no longer available due to unforeseen circumstances e.g. COVID 19 lockdown, or a breakdown occurring on your trip that cuts short your trip, then a refund will be given pro-rata. 7.4 In any event, its are strongly advised to take out travel insurance or to insure against unavoidable cancellation and cancellation costs. 7.5 Sheffield Camper Van Hire reserves the right to cancel the Rental Agreement free of charge at any time. Any payments made by the Traveller will be refunded in full prior to collection 7.6 Sheffield Camper Van Hire is entitled to cancel the Rental Agreement if the Traveller is not present within two hours of on the agreed upon pickup date, place and time as stated in the Reservations Overview without prior notification. 7.7 The Traveller acknowledges that no rights exist to claim compensation for indirect losses pertaining to the cancellation, such as -but not limited to- loss of travel enjoyment, subsequent reservations or flights.
 7.8 If the Traveller cancels the Rental Agreement without a reason as stated, then the cancellation conditions apply. If a surplus remains after the cancellation conditions have been applied, this surplus will be refunded to the Traveller. If there is an outstanding balance after the cancellation conditions have been applied, this will be charged to the Traveller. 8. Administration costs 8.1 Sheffield Camper Van Hire can charge the Traveller with administration costs of up to £25 per event, if the remaining payment is not paid on time 9. Ownership and liability 9.1 The Rental will always remain Sheffield Camper Van Hire’s property. The Traveller is not permitted to tax or sell the Rental.
 9.2 Sheffield Camper Van Hire is not liable for the Traveller’s, Driver’s or travel companion’s damage, according to the Rental Agreement 9.3 If Sheffield Camper Van Hire is liable, then the liability of Sheffield Camper Van Hire is limited to the rent paid by the Traveller to rent the Rental. 10. Driver and Insurance Requirements 10.1 No one other than the drivers named in this document may drive the hired vehicle. 10.2 Additional drivers can be added upon agreement from the owner prior to collection only. 10.3 All named drivers must be over 25 (drivers under 25 or over 69 need to contact us first for confirmation), of good health and have held a full valid driving license for at least 2 years. 10.4 For customers under 25 or 69-74 years of age must be UK residents with a clean driving license and no convictions for motoring offences in the last 5 years. 10.5 All licenses required must be produced at vehicle collection; if this is not a photo-card license you must produce both the card and the counterpart license. For NON-UK License holders, only an International Driving License or International Driving Permit is accepted. 10.6 During the booking phase we check the licence meets our insurance criteria - should anything change to the license after the initial check and before the hire date, it is the hirer(s)/driver(s)/traveller(s) responsibility to notify Sheffield Camper Van Hire, so a further check can be completed ensuring you still meet the insurance criteria. In any event, Sheffield Camper Van Hire reserves the right to request a driver license check code to check the drivers details before the hirer(s)/driver(s)/travellver(s) collects the vehicle. 10.7 Prior to the commencement of any hire, the hirer / Insured shall: i) Be between 25 to 70 years of age. ii) Hold a full UK or EU valid driver's license, for a minimum of two years. iii) Have two forms of identity including proof of current permanent address; 2 utility bills no more than three (3) months old and within three (3) months of the start of the hire 
 iv) Be fit and capable to drive. v) Have obtained a code from DVLA to enable Sheffield Camper Van Hire to make necessary driver licence checks (we will talk you through this simple process). vi) Meet the Insurance criteria, including no disqualifications in the last 10 years and to have no more than 6 points on current driving licence vii) Have not had their license suspended for any period with the last three (3) years viii) Have not been involved in more than one (1) fault incident within the laat three (3) years ix) Have not had insurance declined x) Have not had a renewal refused and special insurance terms imposed as a result of a claim. xi) Have not had insurance cover cancelled by any insurer. xii) Have no more than two convictions totalling 6 points, with a maximum of 3 points per conviction xiii) Have not obtained a BA, DD or UT conviction 10.8 If there are any other current endorsements special conditions and further costs may apply. Please contact us to refer you to our insurance for confirmation prior to booking. 10.9 The insured vehicle shall only be let out on hire to a person who has signed and completed a rental agreement or the hirer/driver proposal for each period of hire. 
 10.10 Any deposit will be taken by a clear and traceable means such as a debit or credit card. 10.11 The Insured vehicle shall not be used for the carriage of goods of an explosive, dangerous or hazardous nature or for the carriage of goods or passengers for hire and reward or any other form of profit or remuneration 10.12 Fully Comprehensive Insurance is included within the hire charge. The vehicle is insured for the period of hire contracted ONLY, thus late return of the vehicle could incur a traffic offence under the road traffic act. The hire is available ONLY for drivers that have been checked by the owner and identified in the signatures below 10.13 In the event the vehicle is seized by police, due to insurance being invalidated by a drivers action, then it’s the hirers responsibility to pay for any charges or fines associated with this. 10.14 Hirers are advised to take out additional personal holiday insurance. 10.15 In the event of any damage to either the vehicle or third party property, the hirer will be liable for the first £1,000 per occurrence. Any damage to the interior or exterior of the hire vehicle will be repaired at the hirer's cost and be deducted from the security deposit. In the event the hirer has caused damage to the vehicle and its equipment the hirer must notify Sheffield Camper Van Hire as soon as practicable and no later than the return handover. A full report of any road traffic collision must be submitted to Sheffield Camper Van Hire within three (3) days. 10.16 The hirer will be liable for replacement or repair to windscreen and windows or tyre damage and accidental/negligent damage to the vehicle, fittings and equipment. 10.17 The Insurance Policy does not cover any persons who have any mental or physical defect or infirmity, suffer from fits, some types of diabetes or any heart complaint, or any persons who have had their insurance declined and/or renewal refused and/or had their insurance cancelled by any motor insurer. Persons who, whilst driving, have been involved in 2 or more accidents in the preceding 3 years are excluded from cover. Persons involved in 1 accident in the preceding 3 years must contact us for referral to the insurance company. 10.18 Cover excludes use for the carriage of passengers for hire or reward, or for racing, competitions, trials or rallies or hire for re-hire. 10.19 It may be necessary for referral to be made to the Insurers at the time of reservation to ensure that any endorsements meet with their criteria. All previous motoring convictions are to be disclosed to us at the time of hiring. The Hirer acknowledges and agrees that this is a fundamental term of hire. 10.20 Sheffield Camper Van Hire reserves the right to cancel any hire if, at the commencement of hire, the driver’s licenses are invalid or not according to the conditions set out above. The Hirer will forfeit any payment made and no refunds whatsoever will be carried out. 10.21 Sheffield Camper Van Hire also reserves the right to cancel any hire with immediate effect, at any time and at their discretion, if the hirer is unable to demonstrate they can control the vehicle safely. 11. Making the Rental available 11.1. Sheffield Camper Van Hire will make the Rental available to the Traveller at the location, time and date as stated in the Booking Overview, unless otherwise agreed in writing prior to collection by the Traveller. The Rental will be clean inside and the outside, and include the inventory, accessories and properly functioning amenities as indicated in the advertisement on the Website at the time of the down payment by the Traveller. 11.2. If Sheffield Camper Van Hire cannot make a Rental available, then the Traveller is entitled to cancel the Reservation 11.3. When handing over the Rental, Sheffield Camper Van Hire will hand over the following documents to the Traveller: a) A valid insurance certificate of the Rental; 
 b) The registration documents of the Rental; 
 c) A breakdown Cover certificate d) Gas Safety certificate (if applicable) e) The Rental’s user manual (if available); and 
 f) The Rental’s inventory (if available) 11.4 Prior to or upon collection of the Rental, Sheffield Camper Van Hire must obtain from the Traveller: a) Driver details and information;
 b) a utility bill (not older than 90 days) evidencing the Traveller’s name and address; c) Copy of Driver’s Driving Licence;
 d) DVLA check code where appropriate;
 e) a copy of the Traveller’s certificate of insurance for the Rental Period (if applicable) 11.5 Sheffield Camper Van Hire wil give the Traveller instructions for both driving the Rental, as well as the proper use of the accessories and amenities 11.6. Sheffield Camper Van Hire will state any pre-existing defects and damages to the Traveller. 11.7 The advertisement and all features, conditions, house rules and rates that apply at the time of payment, apply until the Rental Period has ended and any damage and additional costs have been settled. Changes to these features, conditions, house rules and rates are only permitted in written agreement with the Traveller. 11.8. If a third party arranges the hand-over, the rental conditions between Traveller and Sheffield Camper Van Hire still apply and.
 11.9 The Traveller is responsible for filling in the transfer form when picking up the Rental 11.10 If the Insurance Policy of Sheffield Camper Van Hire requires them to comply with any additional requirements or obtain any additional documents for their records, it’s Sheffield Camper Van Hire’s responsibility to get these from the Traveller. For example: a traceable money transaction.
 11.11 During the term of this Agreement Sheffield Camper Van Hire will, at their expense, take out and maintain insurance: a) a comprehensive policy that provides cover for areas including indemnity for up to the full market value of the Camping Vehicle in the event of fire or theft; 
 b) indemnity for third party loss; 
 c) cover for use of the Camping Vehicle as a Rental and by a Driver(s); and 
 d) a public liability policy that provides cover for at least £5,000,000 per claim. 
 e) Sheffield Camper Van Hire supplies its own public liability and business liability insurance. 
 11.12 if any condition mentioned in the Listing contradicts these Rental Terms and Conditions, these Rental Terms and Conditions overrule any condition mentioned in the Listing. 12. Damage and insurance 12.1. Sheffield Camper Van Hire adequately insures the Rental and lawfully gets required certifications during the Rental Period. The transfer form indicates how the Rental is insured including the availability of roadside assistance. If the insurance adds specific conditions to the Traveller or Driver(s), these will be mentioned in the Transfer form in order to charge cancellation costs to Traveller, if they do not meet these requirements. 12.2. Damages and/or defects can always occur to the Rental during the Rental Period. If the Rental breaks down and/or is involved in an accident, the Traveller must immediately contact the Owner (after following the necessary safety procedures and precautions). The Traveller must follow instructions by local authorities and Sheffield Camper Van Hire. Immediately after an accident, before the vehicles involved in the collision have been moved, or if it is a one-sided accident, before the Rental has been moved, the Traveller must take photos of the damage and of the location of the accident. Additionally, the Traveller must immediately complete the claim form and send a photograph of the completed and signed claim form to Sheffield Camper Van Hire. 12.3. It is forbidden for the Traveller to repair a damage or defect without the written consent of Sheffield Camper Van Hire or the Insurer. In the event the Traveller is allowed to contact the Insurer directly and the Insurer accepts the repair and the costs involved, Sheffield Camper Van Hire is to be notified immediately before any instruction to repair is granted. 12.4. If the Rental is involved in a collision, the Traveller has to handle according to the local laws and regulations and an appropriate European Accident Statement form must be signed by all parties involved, including in any case the Driver and the Traveller.
 12.5. If the Traveller does not comply with Clauses 12.2-12.4, all costs resulting from this will be at the Traveller’s expense. 12.6. Damage that is not eligible for reimbursement according to the Insurer’s insurance conditions, remains at the Traveller’s expense. An exception to this is motor damage, which is at the Owner’s expense unless there is sufficient proof of negligence and/or recklessness on the driver’s part.
 12.7. In the event of damage, the repair costs will be reported to the traveller by Sheffield Camper Van Hire within 10 working days upon return, including a quote and photos clearly showing the damage. The Security Deposit and the payment of the damage will occur within 5 working days of payment by the Traveller. 12.8. If the Traveller does not agree the damage occurred during the rental period or does not agree with the repair costs indicated by Sheffield Camper Van Hire, the Traveller can have this verified by an independent and qualified claim expert at their cost, who can determine the amount of the damage by means of photos of the damage provided by Sheffield Camper Van Hire, or by means of a physical inspection. If Traveller wishes to invoke this right, they must indicate so within 48 hours of receiving the quote from Sheffield Camper Van Hire and employ said claim expert at the earliest possible convenience. The claim expert needs to be independent, an expert in damage appraisal for VW campers and cannot be (employed by) a damage repair company. If the independent claim expert requires access to the vehicle or additional pictures of the damage where the damage is clearly visible, Sheffield Camper Van Hire will make the additional pictures available to the claim expert within two working days or access to the camper van within 16 days. 12.9 The Traveller can under no circumstances claim costs for handling or indirect costs related to damages including, but not limited to: emotional damage, time spent, income lost, missed flights or reservations for hotels or campsites, fuel for driving to and from damage repair companies. 13. Availability 13,1 While every effort is made to ensure that the vehicle reserved is available at the agreed time and date, if due to circumstances beyond our control, the reserved vehicle is not available, the company reserves the right to return money paid by the hirer in full. 13.2 Occasionally, vehicles are returned damaged and if the damage is too great for us to repair on time, we may need to offer a substitute camper van. If this is not acceptable to you, or if no other camper van is available, then we will refund all sums that you have paid. The liability will be limited to the refund of monies paid and the Hirer will have no further claims against us. Hirers are strongly advised to insure against unavoidable cancellation. 14. Breakdown Cover 14.1 In the unlikely event of a breakdown, we request that the hirer uses our specified breakdown company quoting the registration number of the vehicle. Details of this company are held in the owners manual in the vehicles glovebox. Hirers must make immediate contact with Sheffield Camper van hire in the event of any breakdown, accident or collision, as well as the authorisation of any arrange repairs. 15. Rules of conduct for the use of the Rental 15.1 The Traveller guarantees that he/she or the Driver meets the necessary physical and mental requirements of being able to safely drive the Rental. 15.2 The Traveller is responsible for all the goods and persons transported in the Rental. It is explicitly prohibited to transport illegal goods (including drugs) in the Rental or to use the Rental for any illegal purpose whatsoever. 15.3 In the event the Rental Agreement is not fulfilled by the Traveller, or if the Rental has been misused, the Traveller is liable for all directly and indirectly resulting damages. The Traveller will in addition be charged a fine of £500, which will go to Sheffield Camper Van Hire. Misuses include: a) The Traveller going to countries, parts of countries or areas other than the ones permitted in the insurance documents. European travel in the vehicle is available upon request. However, the Hirer must not take the vehicle outside the UK without our consent or take the vehicle off road under any circumstance apart from official campsites and designated camping places. Please advise us at the time of booking if you are planning to travel to Europe. Hirers should note that foreign travel vehicle insurance is compulsory if the vehicle is to be taken outside the United Kingdom and this has to be proposed to our Insurers at the time of reservation. b) The Traveller renting out the Rental to third parties (subletting). d) The Traveller ignoring the Rental’s warning lights. c) The Traveller changing travel companions without informing Sheffield Camper Van Hire in writing. The Hirer shall not carry more passengers than is quoted in the booking overview or the seating capacity of the vehicle or allow the vehicle to be overloaded. d) The Traveller obscuring the Rental. e) The Traveller selling the Rental. f) The Traveller recklessly using the Rental. The Traveller must ensure that the vehicle and its contents are used in a proper and careful manner for social and domestic purposes. In particular, the vehicle is not to be used for or in conjunction with any race, competition or trial; for towing; for the carriage of goods or passengers; for hire or reward, or any other form of profit or remuneration; or for the carriage of goods of an explosive or hazardous nature. The Hirer is required to keep the vehicle under his/her control throughout the rental period, and to keep the vehicle locked at all times, when unattended. g) The Traveller allowing others to use the Rental, or letting other Drivers drive the vehicle, other than the Sheffield Camper Van Hire-approved Drivers. h) The Traveller using the Rental for illegal purposes. j) The Traveller using the Rental for commercial or media purposes without written permission from Sheffield Camper Van Hire k) Any other behavior from which it can be established that the Traveller does not act as 'good guests' with regards to the Rental 15.4 If
the Traveller puts improper substances in the fuel tank, gas tank, clean water tank and / or waste water tank - including incorrect fuel in the fuel tank or fuel in the clean water tank - then all the repair costs will be at the Traveller’s expense. 15.5. The Driver must have at least reached the age stated in the Booking Overview and be in possession of a valid driving license which is required to drive the Rental.. A driver is only allowed to drive the Rental if a Verification has been carried out by Sheffield Camper Van Hire before the start of the Rental Period, and the outcome of the Verification is positive. If the Verification has a negative outcome and causes the cancellation of the Rental Period, the Traveller is considered to be at fault and the cancellation policy applies. If the Driver travels through a country where his/her driver’s license requires an international driving license, then this Driver must have a valid international driving license. 15.6 The Rental may only be used for the maximum number of people listed on the Website and / or mentioned by the Renter when booking the Rental. 15.7 Each Driver and the Traveller has to hold a driving license which is valid upon at least 1 month after the drop off date and which allows for driving the Rental in all countries and states travelled with the Rental. 15.8 The Traveller is liable for any traffic violations and / or any costs related to the use of toll roads during the Rental Period. This liability continues even after (a part of) the security bond has been refunded and expires one year after the end of the Rental Period. Additional charges for traffic violations and / or costs for the use of toll roads by the Traveller must be proven by Sheffield Camper Van Hire, by providing evidence that these costs have indeed been incurred by the Traveller during the Rental Period. Sheffield Camper Van Hire will advance these costs at any time to prevent any extra charges. 15.9 The Traveller must use and drive the Rental in accordance with the vehicle instructions and (when provided) the Rental’s user manual. The Driver and the Traveller must, when using the Rental, follow all the instructions provided by Sheffield Camper Van Hire, including instructions that have been uploaded on the Website. The driver must drive the Rental carefully and safely. 15.10 The Rental must be used in accordance with applicable laws and regulations at all times.
 15.11 The Rental is only to be used by the Traveller for camping purposes. It is only permitted to use the Rental in areas where local law and the Insurance Policy allow it. If damage or costs arise because the Traveller did not abide by these restrictions and if these costs are not covered by the Insurance company, these costs will be charged to the Traveller. 15.12 If the Rental has a technical fault and / or failure, the Traveller is obliged to immediately inform the Owner by phone or text message. 15.13 Only the countries, states or regions described on the transfer form and / or stated in the advertisement are allowed to be visited with the Rental. 16. Do’s & Dont’s 16.1 The traveller must not; a. Use any Gas appliances to heat the vehicle under any circumstances. Carbon Monoxide fumes can be fatal. b. Use of the vehicle for music festivals is not permitted. The vehicle may be fitted with a tracker and we reserve the right to cancel the booking, should we discover this was the hirers intention c. Use the vehicle for any Stag or Hen parties d. Dogs sould not sit on any unprotected surfaces e. The vehicle is not to be driven on beaches, as it can damage the engine f. No one-way rentals (Weddings may be considered dependent on van availability and availability of driver) g. Do not use toasters inside the camper van. h. Turn the gas supply off at the tap in the rear of the vehicle when not in use. Open windows and side door when cooking. i. Return the vehicle in a clean condition as at the start of the rental period. This includes all equipment, kitchen equipment and cooking utensils. j. Ensure the pop-top roof is fully lowered before driving away. k. Ensure the electrical hook-up is disconnected from the vehicle before driving away. 16.2 The Hirer acknowledges delivery of the vehicle free from any defects or damage other than those as specified on the transfer form agreed at the date of commencement of the rental period. The vehicle and its contents must be returned in the same condition as they were received at the commencement of the rental period. 16.3 The Hirer is responsible for any damage caused to the vehicle caused by improper use or accidental damage. Any damage to the exterior or interior of the vehicle, fixtures, fittings, living or cooking equipment will be charged to the hirer in all cases and deducted from the hirers security deposit. Any damage to ‘Extra’ items used by the Hirer will be charged to the Hirer in all cases. No claims for loss or damage to personal belongings or effects of the hirer or any persons will be considered. 16.4 At time of dropping off the camper van, the hirer must declare any new damages and defects present on the interior or exterior of the camper van. Any damages and defects must be reported via the transfer form and signed by the hirer upon drop off. Sheffield Camper Van Hire will inspect the vehicle within 24 hours of drop off and report any damages or defects not listed by the Traveller. 16.5 After confirming, no damages or defects can be considered as pertaining to the hire period, with the exception of damages or defects which are not inspectable upon drop off, but can clearly be attributed to the hire Period, such as using the wrong fuel type. 17. Equipment and Camping Gas 17.1 As detailed in the accompanying inventory, the vehicle will be supplied with crockery, kitchen equipment, cleaning kit. electric hook up cable, 2 camping chairs and a small table. A gas cylinder for the internal hob will be provided with each hire. A full tank of water for the kitchen sink is available upon request. 18. Fuel, Water & Oil 18.1 The vehicle shall be supplied with a full tank of diesel and must be returned with a full tank of diesel. Failure to do so will result in the cost of filling the tank at a charge of £1.50 per litre, this will be deducted from the security deposit. 19. Pets 19.1 With prior agreement, a small well-behaved dog will be welcomed, so long as they are not allowed on the furniture and are never left in the camper van unattended. Bringing a dog along incurs a one-off £50 fee. This is to cover the cost of a full interior valet so that future hirers who have allergies or who are not pet lovers are not affected in any way. Any evidence of damage caused by a pet will be deducted accordingly from the security deposit 20. Smoking 20.1 SMOKING or VAPING is STRICTLY PROHIBITED in the vehicle aw well as in and under the awning(s). A £250 penalty will be deducted from the security deposit if evidence of smoking or vaping is found in the vehicle or . 21. Vehicle Maintenance 21.1 The engine oil, water levels and tyre pressures must be checked by the Hirer at least once a week during the Vehicle rental period. Oil must never be filled above the line indicated on the dipstick. 22. Mileage 22.1 A free mileage allowance of 75 miles is offered per day / 525 miles per week. 22.2 Enhanced mileage allowances are available upon request prior to travelling. 22.3 A charge of £0.50p per mile will apply if the mileage exceeds any agreed hire period allowance stated in the booking overview or Transfer Form. This charge will be taken from the travellers Security Deposit 23. Transfer Form 23.1 The transfer form will be considered leading in determining the state of the Camping Vehicle upon start and end of the Rental Period. Confirmation of the transfer form will be done by confirming via the form itself and will be considered legally binding. The hard copy transfer form will be physically signed in twofold. 23.2. The transfer form includes: 23.3 the mileage and fuel level as at the start and end of the Rental Period; a note of any exterior damage;
whether the Rental is clean;
whether the Inventory List is complete and correct; 23.4 whether the required documents are present and whether all accessories and amenities are present and functioning properly. 23.5 Traveller must take pictures of any areas of the hire vehicle, that don’t meet the condition stated in the listing. They should be detailed on the transfer form at time of collection. Pictures should be sent to [email protected] within 24 hours. Photos should clearly show what is not clean, damaged or broken. 23.6 The transfer form needs to be signed by a representative from Sheffield Camper Van Hire and the traveller prior to starting the Rental Period, and damage must be noted on the form under ‘remarks’.
 23.7 Upon picking up the Rental, the Traveller and Sheffield Camper Van Hire must report via the transfer form any damages and defects present on the interior or exterior of the Rental. After confirming, no damages or defects can be considered pre-existing, with the exception of damages or defects which are not inspectable prior to starting the rental period, such as hidden defects. Such defects should be reported to Sheffield Camper Van Hire within 24 hours of collection. 23.8 At time of dropping off the Rental, the Traveller must declare any new damages and defects present on the interior or exterior of the Rental. Any damages and defects must be reported via the transfer form and signed by the Traveller upon drop off. Sheffield Camper Van Hire will inspect the vehicle within 24 hours of drop off and report any damages or defects not listed by the Traveller. After confirming, no damages or defects can be considered as pertaining to the Rental Period, with the exception of damages or defects which are not inspectable upon drop off, but can clearly be attributed to the Rental Period, such as using the wrong fuel type. 23.9 It is the responsibility of both Sheffield Camper Van Hire and the Traveller to hold a photocopy of the signed transfer form. 24. Penalties, Fines and Charges 24.1 All fines incurred by the Hirer or other driver for the infringement of traffic laws or regulations shall be the liability of the Hirer or other driver and must be paid in full on receipt of any notice of penalty, fine or charge. We will not be responsible for any such liabilities. If we do receive any notices in respect of penalty, fines or charges including but not limited to fines and penalties for speeding, parking fines and congestion charges then an administration fee of twenty five pounds (£25.00), per notification, will be added to the penalty, fine or charge to cover administration and postage costs incurred to redirect such penalty notices, fines or charges. 25. Personal Safety 25.1 We take safety very seriously, but be advised that it is the hirer(s) responsibility for the safety of children while in or around the vehicle, particularly while using the upper bunks. 25.2 There are two (2) seat belts fitted in the front of the campervan and 2 in the rear. Regulations govern the use of child car seats in the United Kingdom requiring every child traveling in the vehicle to be seated using specified restraints in all circumstances where the child is under 135cm or 12 years of age. It is the Hirer’s responsibility to ensure that necessary child seats are provided and used in the vehicle if carrying children. 25.3 Do not use the gas stove to heat the van. The diesel powered night heater is to be used for heating the van 25.4 Always have a door/window open when using the stove to cook. 25.6 Please note there may be knives included as part of the cooking equipment, so please don't allow children to open the drawers or containers unsupervised. 25.7 COVID 19 - The campervan will be cleaned with antibacterial materials prior to the hirers collection to comply with governmental guidelines to help control the spread of COVID 19. It is the hirers responsibility to ensure they follow current governmental guidance, at all times, whilst hiring the van. 26. Limitation of Liabilities 26.1 Sheffield Camper Van Hire alone is responsible for their Camping Vehicles and Rentals. When Sheffield Camper Van Hire and Hirer make or accept a booking they are entering into a contract directly with each other. 26.2 Sheffield Camper Van Hire works to verify the identity of the Hirer using a check on personal details and driver’s license. If this verification does not yield a conclusive and/or positive result, the final decision to rent out the vehicle always lies with Sheffield Camper Van Hire. 27.3 Both rent payments and any other payments owed by the Hirer to Sheffield Camper Van Hire, as well as refunds owed by Sheffield Camper Van Hire to the Hirer have to be processed by Sheffield Camper Van Hire. For fines and toll payments, a prepayment can be offered provided the fine or toll has been made and a receipt is available. 27.4 Nothing in this agreement shall limit or exclude the liability of the Hirer for: a) death or personal injury caused by negligence;
b) fraud or fraudulent misrepresentation;
c) liability under indemnities;
d) any other matter in respect of which it would be unlawful to exclude or restrict liability. 27.5 Sheffield Camper Van Hire accept no liability for replacement vehicle costs, travel or accommodation costs or any other consequential loss claims arising from the breakdown of the vehicle, fair wear and tear excepted, or any accident or other such related causes. 27.6 Sheffield Camper Van Hire are not liable for any costs and expenses incurred for speeding, parking fines, congestion charges and for any other offences committed against the Road Traffic Act or traffic regulations or otherwise by the Hirer or additional drivers. 27.7 The Vehicle and its contents are to remain the property of at all times and the Hirer shall not sublet or loan the Vehicle or its contents. 27.8 We reserve the right to vary the rates and conditions of hire at any time and to decline hire to any person at any time without reason, this includes the right to change vehicles when necessary. We also reserve the right to reclaim any vehicle we regard as being misused and all our expenses incurred will be recovered from the hirer 27.9 If Sheffield Camper Van Hire deems the reason to be of critical value, we can decide comply with a request to share user data with relevant authorities. Examples of this include a (suspicion of) vehicle embezzlement, misuse of the website or a request by an authority legally entitled to do so 28. All items are offered, subject to availability. 29.2 A security deposit of £250 will be transferred to the owner via BACS for any of the ‘Extras’ listed above, twenty-four (24) hours prior to collecton. This security deposit is in addition to the security deposit for the hire of the vehicle. This is fully refunded provided the vehicle and its contents are returned in the same condition they were released to the hirer(s). We shall refund your security bond within seven (5) working days from the end of the hire period (usually by the following day). This time allows for checking of the returned extras. 29.3 In the event you have caused damage to the camper van and/or its equipment you must notify us as soon as practicable and no later than the return handover. 29.4 Any damage to the extras will be charged to the Hirer and taken from this £250 security deposit accordingly. If repair costs for the damage incurred is greater than £250, then the owner reserves the right to deduct the extra costs from the £1000 vehicle security deposit. 29.5 If additional costs are incurred by the Hirer where re-imbursement from the owner is expected, then authorisation from the owner must be sought before purchase. For example, (not limited to) replacement gas bottles, AdBlue fluid, etc. Reimbursement will be given upon production of a receipt for the purchase. 30. Declaration 30.1 I will pay Sheffield Camper Van Hire; a. All rental charges (deposit and balance) b. The security deposit (to cover relevant insurance excess / damages / mileage excess charges) c. The valeting fee, if the camper is not returned with the interior in a clean condition. d. All parking fines, other fines or penalties, and/or accidents including third party property damage not reported on return of the camper, and associated administration costs incurred in relation to the vehicle during the rental period. e. Any other fees or charges payable by me pursuant to this Agreement. This includes any costs incurred by Sheffield Camper Van Hire due to any breach by me (hirer / traveller) of the terms of this agreement. f. Total charges as set out herein are not final. The hirer / traveller will pay any shortfall in charges to Sheffield Camper Van Hire and will receive a refund for any overcharge acknowledged by Sheffield Camper Van Hire. These Terms and Conditions are governed by English Law.
