Driving age between 25 and 75 years of age. Held full UK or EU licence for a minimum of 2 years. Has not had their licence suspended for any for any period within the last 3 years. Has not been involved in more than 1 fault incident within the last 3 years. Has no more than 2 convictions with a maximum of 3 points per conviction. Has no obtained a BA, DD or UT conviction. The insured shall have completed, prior to releasing the vehicle, identity checks including copies of all drivers licence, 2 utility bills dated within 3 months of the hire and the deposit being taken by a clear and traceable means such as a debit or credit card. Utilities are as follows: Electricity, Water, Gas, Broadband, Council tax or Landline 1 of the following alongside a utility:-​ TV/internet/landline telephone bill (including Sky/Virgin/BT etc) Bank or Credit statement Credit card bill / statement Mortgage statement Mobile phone bills We cannot accept:-​ Any document relating to insurance. Any documents that done not meet the above mentioned criteria - please contact us if you are unsure. To book your campervan hire with Cave Van Limited please email your requirements to [email protected] or call us on 07511403061 and we can confirm availability. If you book less than 6 weeks before travel then the full amount will be required upon booking. If you book more than 6 weeks before travel we require a deposit of 25% and then the balance 6 weeks before travel. We won't confirm the booking until payment or deposit has been received. Before you can take the vehicle we require a security deposit to cover any damage, this can be on credit or debit card and will be refunded upon satisfactory return of the vehicle. You can collect the vehicle from 2:30pm and drop off by 12:30pm but where possible we will do our best to accommodate your needs. Beloved dogs are of course welcome but due to the extra cleaning needed for the next customer who may not feel the same about dogs or have allergies there will be an extra fee of £30 per dog. We include 24-hour comprehensive breakdown cover as standard. If you encounter any problems with the appliances/equipment within the camper van, please contact us for advice. It may be that you may have to visit a garage for repairs to be carried out and you will be reimbursed for any pre-authorised expenses incurred. Expenses incurred due to your own fault (such as locking the keys in the vehicle, using the wrong fuel, or running the battery flat will not be reimbursed). We take a £500 security deposit on a credit or debit card in advance of the hire commencing. This is to cover any accidents or damages to the Camper van and will be refunded on satisfactory return of the vehicle. We kindly ask that you do not smoke in the vehicle. If there is any sign / smell of smoking in the vehicle the cost of cleaning and deodorising will be taken from the security deposit. Before returning the camper van to us, please make sure that: The Diesel tank is completely full. All contents of the vehicle are present as per the inventory. The toilet cassette is emptied and is thoroughly cleaned including the cassette housing. The interior of the vehicle including the garage locker is in a clean standard including all kitchen appliances and the toilet. We can provide you with duvets, pillows and covers and towels at an extra cost of £30. All cancellations must be notified in writing to Cave Van Limited at the earliest opportunity. The following cancellation charges will apply: Cancellation more than 6 weeks before and the deposit of 25% will be lost. Cancellation 6 weeks – 2 weeks before and 50% of total hire charges will be lost. Cancellation 2 weeks or No Show and 100% of total hire charges will be lost. Cave Van Limited reserve the right to amend our cancellation policy for certain events. Cave Van Limited cannot postpone or transfer monies from one hire to another. All members of the hire party should obtain their own Travel insurance. Cave Van Limited accept no liability for any charges or costs incurred as a result of cancellation. Unfortunately, events beyond Cave Van Limited's control occasionally affect bookings. When reference is made to such events in these Conditions of Hire, this means any event(s) or circumstance(s) which Cave Van Limited could not, even with all due care, foresee or avoid. Cave Van Limited cannot accept responsibility or pay any compensation, costs or expenses where the performance of your contract with us is prevented or affected or you otherwise suffer any loss or damage as a result of events beyond Cave Van Limited’s control. This includes any delays to and/or restrictions to your hire to which you may be subject. However, if Cave Van Limited have to cancel your booking, we will offer you a refund of your Hire Charges. The offer of a refund shall be an exclusive remedy in respect of any loss, costs or expenses caused by events beyond our control. Late returns can have a significant impact on the next hire. If you fail to return the camper van on time you will be liable to an extra charge of £100 per hour. There are no refunds if the camper van is returned early. The camper van must be delivered back to our premises no later than the agreed date and time which will be specified in the Self-Drive Hire Rental Agreement. The camper van must be returned to us in person and the keys handed to a member of Cave Van Limited staff. Under no circumstances should the camper van be left outside our premises and/or the keys posted through the letterbox or left elsewhere. In such an instance, the insurance is invalid, and you and any subsequent drivers will be fully responsible for any loss or damage to the vehicle. You will collect the van from us with a full tank of diesel and we expect it to be returned with a full tank. Where this is not adhered to, a charge of £50 plus the cost of the missing fuel will be payable by you. At the start of the hire period, the vehicle will be supplied with two Calor Gas bottles. One bottle will be completely full and the second (the bottle which is connected) will be partially full. The contents of the two bottles are included within the hire charge, however, should you need to purchase more Calor Gas this is the responsibility of the hirer. The vehicle must be returned to us with both Calor Gas bottles in place. A charge of £75 will be payable by you for each missing Calor Gas bottle. The following additional charges will apply where applicable: £50 where the toilet cassette and/or housing have not been emptied and cleaned. £50 where any cooking appliances or equipment are found to be uncleansed. £50 plus the cost of the missing fuel where the fuel tank has not been replenished. £100 where the vehicle is not returned in a clean condition. £50 where the vehicle exceeds the speed limit. £75 where there is a missing Calor Gas bottle. In the event of an accident the safety of the hirer and their party is paramount. Emergency services should be called first if necessary and the accident dealt with in the necessary manner. Only after everyone involved in the accident is safe should the hirer contact Cave Van Limited and we will then try and minimise any loss to both ourselves and the hirer. Regardless of how minor the accident may seem, full details of anyone involved must be noted down in the accident report form which is kept in the vehicle. This is the responsibility of the hirer. Each vehicle has a Customer Guide which includes a section called “What to Do in The Event of An Accident” and you should follow the guidance contained within this document and/or contact Cave Van Limited for guidance. Any accident or incident which involves damage to our vehicle, another vehicle or any third party must be notified to Cave Van Limited as soon as possible as failure to do so could compromise our and your insurance position. The insurance cover provided is only for the vehicle and our equipment/contents within the vehicle. All members of the hire party should obtain their own Travel insurance. No responsibility can be accepted by Cave Van Limited for any loss or damage or expense which occurs as a result of any accident unless it is due to a proven reason of Cave Van Limited’s failure to adequately maintain the camper van in a fit state and condition. You may park one car or van on our premises free of charge for the duration of your hire period, however, this is entirely at your own risk. We ask that you leave a set of keys with Cave Van Limited for the duration of the hire period should we need to move the vehicle, but the vehicle will not be moved off Cave Van Limited grounds. The camper van will always remain the property of Cave Van Limited and we may repossess the vehicle at any time without further notice if you are in breach of this agreement. This will not affect our right to receive any monies we are owed under the conditions of this agreement. For the purposes of the Data Protection Act 1984, Cave Van Limited may hold and process by computer or otherwise the information given to or obtained by it. Cave Van Limited’s GDPR policy states that we retain certain personal documentation for a period of no more than 12 months. After this time, all personal documentation is destroyed in line with our GDPR policy. If you prefer your personal documentation to be destroyed immediately after the hire period, please contact Cave Van Limited to request this. This agreement is governed by the laws of England and Wales. Any dispute not resolved by mutual agreement may only be settled in the courts of this jurisdiction. If any provision or part-provision of this agreement is or becomes invalid, illegal, or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted. Any modification to or deletion of a provision or part-provision under this clause shall not affect the validity and enforceability of the rest of this agreement. The parties agree that the agreement constitutes the entire agreement between them, and supersedes all previous drafts, agreements, arrangements and understandings between them, whether oral or written. Our vehicles are supplied with Full Roadside Assistance cover within the UK and EU. Details of the cover will be provided during your handover. No responsibility can be accepted by Cave Van Limited for any loss or damage or expense which occurs as a result of any defect or breakdown unless it is due to a proven reason of Cave Van Limited’s failure to adequately maintain the camper van in a fit state and condition. If you do break down, you should contact the Breakdown service which covers the vehicle and inform Cave Van Limited as soon as possible.
