Terms & Conditions 1. General Please allow up to 1 hour for your handover. A penalty of £50.00 per hour is payable for time between expiry of the rental agreement and the return of your vehicle (maximum penalty is daily rental charge). Should the late return of the vehicle make us liable for extra costs (e.g. compensation for the next hirer), we reserve the right to pass on these costs to you. Please return your vehicle on time! Equipment, such as camping table, chairs, crockery, towels and kitchen equipment are included, please see the inventory list. If any items are lost or damaged, we will use your security deposit to replace them. 2. Driving licences No one other than the driver named on the insurance proposal form may drive the hired vehicle. Drivers must be over 25 and under 75 years of age and have held a full driving license for at least 3 years. The drivers licence must be unendorsed (except for speeding and parking offences) and the following must be produced at the time of collecting the vehicle: 1. A valid UK driving licence (card or paper). 2. Two proofs of ID, such as utility bills, bank statements etc at present address up to 90 days old. 3. We will also need to run a further DVLA check. Please have your national insurance number or check code ready. Check codes can be obtained prior to commencement of hire from the DVLA web site and are valid for 21 days. Avgofree reserves the right to refuse the handover of the vehicle if drivers/hirer(s) do not meet insurance requirements in the driver/hirer endorsement section. In such a case, all hire charges paid will not be refunded with no further liability to Avgofree. 3. Insurance Fully Comprehensive insurance is included within the hire charge. The vehicle is insured for the period of hire contracted only, thus late return of the vehicle would incur a traffic offence under the road traffic act. Hirers are advised to take out additional personal holiday insurance. A £500 excess payable by the hirer is applied to all claims. We reserve the right to obtain a pre-approval of any amount up to the insurance excess against the drivers’ or hirers’ credit card. 4. Booking details The hire balance must be paid within 6 weeks of departure. The security deposit of £1000 must be paid on/prior to the collection of the vehicle. Security deposits will be refunded within 5 working days of your return date, subject to a satisfactory vehicle inspection. However if quotes need to be obtained for damage or replacement parts caused by the hirer this may take longer. 5. Breakdowns In the unlikely event of a breakdown, please contact us immediately and when advised to do so, the hirer seeks the help of our registered breakdown company only, quoting the registration number of the vehicle. Hirers are authorised to request repairs up to the value of £50. Repairs costing in excess of £50 must first be authorised by us prior to the work being undertaken. Every effort will be made to ensure your vehicle is repaired and back on the road as soon as possible. At our discretion we may refund you per day lost of your holiday pro rata, however no further losses will be compensated. Should the vehicle be unrepairable on site, the breakdown recovery vehicle will recover both the motorhome and all passengers back to our premises. The daily rate will be then be refunded, however should you decide to carry on with your trip no further compensation will be due. 6. Replacement vehicle If for any reason beyond our control we are unable to provide you with the motorhome on your booked dates, you will be given a full refund. We will not be held liable for any losses you may incur. In the event of the motorhome being rendered unroadworthy as a direct result of any road traffic incident during period of rental, we will unfortunately be unable to provide a replacement vehicle. Under these circumstances, the hirer is not eligible for a refund of monies paid and owner is not liable for subsequent associated costs as these will be required to be recovered from your travel insurance provider. 7. The hirer agrees that he or she: a) Shall not carry more than 5 passengers in the vehicle or allow it to be overloaded. b) Shall not have more than 5 occupants sleeping in the vehicle. c) Shall not use the vehicle for carrying passengers or goods for hire or reward. d) Will be responsible to Avgofree for the cost of making good any damage caused to the vehicle caused by improper use. e) Is responsible for any fines (including parking fines) which may be incurred during the hire period. f) Shall not, without consent from Avgofree, remove the vehicle out of England, Scotland or Wales. g) Understands that no claim by the hirer for loss or damage to personal belongings or effects of the hirer or any person or persons will be considered. h) Understands that any damage to the interior of the vehicle, living or cooking equipment will be charged to the hirer in all cases and is not insurable. Damage to tyres, windows and windscreens are also not covered by insurance. 8. Period of hire The times and dates of the contract of hire must be strictly adhered to. No refund will be given for early return of the vehicle. 9. Cancellations All cancellations must be in writing by email. All deposits are non-refundable, but may be transferable, at our discretion. All monies due and received within 6 weeks of the commencement of hire are not refundable (unless we can re-hire the vehicle), except the security deposit, which is refundable provided that no other sums are unpaid by way of deposit or otherwise. We reserve the right to cancel hire if, at the commencement of hire, the driver’s licences are invalid or not according to the conditions set out above. In these circumstances the total hire charge will be forfeited. Hirers are strongly advised to insure against unavoidable cancellation. 10. Liabilities The hirer is responsible for all costs and expenses incurred as a result of offences against the Road Traffic Act. The hirer is also liable for any uninsurable damages including tyres, windscreen and any internal damages or breakages. The hirer will indemnify us from any liability. Toll charges must be paid in full at time of journey or we will pass these back to you. 11. Animals All animals, other than guide dogs, are prohibited from being in the vehicle. 12. Parking The hirer may park, free of charge and at his/her own risk, one car at the collection location for the period of the hire. 13. Collection and return The vehicle is available for collection 7 days a week. Hiring’s start and finish at the collection location, unless otherwise agreed. Collection times must be arranged in advance. Return times must be arranged in advance. Collection or return times which fall outside the dates and times given must be agreed with us. The return of the vehicle is confirmed in writing, signed by the hirer and Avgofree. Collection and return days are charged as per day, or half day at our discretion. 14. Penalties and charges Cassette toilet system must be returned as at collection, emptied, cleaned & with the correct chemical. Unemptied toilets will incur a £75 penalty. Waste water tanks must be emptied. Unemptied waste water tank will incur a £25 penalty. Fresh water tanks must be kept topped up. If left to run dry the system will need bleeding & may be damaged. Avgofree reserve the right to impose a £50 valet penalty if the vehicle is returned in a condition unsuitable for habitation. Please return your motorhome in the same condition you collect it. A starter supply of toilet chemical, gas & BBQ gas (where applicable) are provided upon collection. However, refills or further amounts of same are at the hirers own expense. A specified quantity of diesel is in the vehicle upon collection, you must return the vehicle with this same amount. If the vehicle is returned short of diesel, time for refuelling & cost of fuel is chargeable. Chargeable amounts refilling Diesel ¾ to full =£75.00 ½ to ¾ full =£90.00 ¼ to ½ full =£120.00 Empty to ¼ full =£140.00 LPG £40.00 regardless of the level Smoking is strictly prohibited in our motorhome and if the hirer is suspected to have been smoking in the vehicle, a £250 penalty will be applied. We also reserve the right to charge for loss of hire due to repairs caused during your hire @ £150.00 per day, to be taken from the deposit. Please also note if we have to obtain quotes for damage caused to the vehicle during your hire period, your security deposit refund may be delayed.
