Riding Farm Cottages Motor Home Rental Agreement Terms and Conditions Riding Farm Cottages hires the Motorhome to you subject to this Rental Agreement which incorporates these Terms and Conditions and the information contained on the Booking Form that you completed, signed and returned. In entering into this Rental Agreement you accept these Terms and Conditions and confirm that you will strictly comply with them. BOOKING The Motorhome booking form must be completed and sent to us with: • Signed Rental Agreement • A non-refundable Booking Deposit of £250 (payable by BACS) • Copy of the Drivers’ photo card licence(s) (address & ID must be up to date). By sending a copy of the licence you are agreeing to us completing an online licence check for which we also require your National Insurance number or a DVLA ‘check code’. • Two forms of proof of address. The balance of the hire charge (full charge less Booking Deposit) is due 4 weeks before the start of the rental period. A Damage Deposit of £750 is payable 24 hours before collection of your Motorhome. This will be returned within 24hrs following return of the Motorhome satisfactorily clean and without damage. We reserve the right to cancel the booking if any information provided on the Booking Form is incorrect or the Drivers’ licence(s) do not comply with requirements. In this case you will forfeit the booking deposit. CANCELLATION In the event of a cancellation the following applies: Up to 4 weeks before the rental period – the Booking Deposit is forfeited. Between 4 weeks and one week before the rental start date - a fee of 50% of the balance of the payable hire charge will be incurred. Less than one week before the rental start date - 100% of the total hire charges are forfeited. DAMAGE DEPOSIT No money will be taken from the £750 Damage Deposit on safe return of the Motorhome, in the condition in which you hired it, subject to an inspection satisfactory to us. Under these circumstances the monies will be refunded within 48 hours of return of the motorhome. Should there be any damage or requirement for any repair, replacement or special cleaning, the costs will be deducted from the Damage Deposit. You irrevocably authorise us to deduct from the Damage Deposit any amounts due to us arising out of this Agreement. In the event that there is a claim we reserve the right to retain the Damage Deposit for such long a period as is necessary to quantify the charges incurred. An itemised list of example charges is available on request. DRIVERS There is a maximum of three Drivers per rental. Two are included in the hire charge. A third Driver is charged at £10 per day. All Drivers must have presented their licence and two forms of proof of address for inspection before the time of collection. Drivers must be over 23 years of age and under 75 and have held a UK or EU driving licence for at least two years. Drivers aged 23 and 24 years are required to pay an increased damage deposit of £1000 to cover additional young driver insurance fees. Two minor parking or speeding convictions of three points each are acceptable (i.e. 2x Sp30’s, 3pts each). Any single conviction totalling 6 points+ will require referral to our insurers which may result in an insurance surcharge. Drivers must have no more than one at fault claim or outstanding accident or claim in the last 3 years. Drivers must have no mental or physical disabilities which would interfere with their ability to drive and must not be taking any drugs likely to affect their ability to drive or drugs prescribed by a registered medical practitioner for treatment of drug addiction. INSURANCE Fully comprehensive insurance for use in the UK is included within the hire charge for the driver(s) named on the Booking Form and agreed by us. The insurance policy excess is £500 (£750 for Drivers aged 23 and 24 years) which will be deducted from the Damage Deposit in the event of a claim of any such damage to the Motorhome caused by the Hirer(s). Costs for any further damage or requirement for any repair, replacement or special cleaning will also be deducted from the Damage Deposit. The excess for windscreen damage is £100. In the event of a claim for windscreen repair or replacement, this cost will be deducted from the Damage Deposit. Tyres are not covered by insurance and as such any damage to these parts is the responsibility of the Hirer(s) and any associated repair or replacement costs outside routine wear and tear will be deducted from the Damage Deposit. Any accidents caused by third parties must be reported to us immediately stating the third party vehicle and insurance details. The insurance is only valid for the period of your hire, therefore late return of the Motorhome invalidates the insurance and the Hirer(s) become(s) personally liable for any accident damage to the Motorhome, third party property and third party personal injuries. You warrant that all information supplied to us in connection with this agreement is true and complete. Failure to provide accurate information may invalidate the insurance and render you liable for all losses howsoever sustained including claims by third parties. In particular, on collection of the Motorhome you warrant that information supplied with the original booking has not materially changed, including but not limited to the number of points on a driver’s licence. Insurance is for the Motorhome and its equipment only. Personal possessions are not covered and the Hirer is advised to take out holiday insurance to cover these. COLLECTION & RETURN Collection and return is at the address specified on your Booking Form unless otherwise agreed in writing. Collection can be made at an agreed time between 3pm and 5pm on the first day of your rental. Your return can be made at an agreed time between 8.30am and 11am on the final day of your rental. Failure to return the Motorhome within the agreed time will result in the Hirer(s) being surcharged at the rate of £50 per hour (first three hours) and balance of Damage Deposit thereafter. No refunds are given for early return. The Hirer(s) should leave one hour for handover on day of collection and 15 minutes on return. The Hirer(s) acknowledges delivery of the Motorhome free from any defects or damage other than those as specified on the inventory sheet agreed at the collection handover. The Motorhome will be thoroughly checked for damage and cleanliness and if satisfactory the Damage Deposit will be returned within 24hours of return. An itemised list of potential cleaning and damage charges is available on request. At the end of your rental: • The Motorhome must be returned with the fuel refilled to its agreed pre-hire level. All rubbish must be removed. • All equipment including cutlery, crockery, cooking utensils and appliances must be thoroughly cleaned. • The toilet cassette must be emptied and re-filled with the chemical provided. • You agree that we are entitled to charge you an additional cost if the Motorhome requires more than our standard cleaning. • During the period of the hire you may park your car at our premises but do so at your own risk. LIABILITIES The Driver is liable for all costs and expenses incurred for speeding, parking fines, congestion charges and road tolls and for any other offences committed against the Road Traffic Act or traffic regulations. The Driver is liable for any overhead damage (damage above 6ft from the ground). You are fully responsible for damage caused by failure to assess the height of the Motorhome and striking overhead or overhanging objects. All accidents must be reported by phone immediately to us on 01830 813 913 and to the police if there is third party damage to property or injury to people. The Driver should not admit guilt or liability. An accident report form must be completed at the termination of hire BREAKDOWN In the event of a breakdown, the Hirer(s) may contact the RAC for roadside assistance using the information provided in the cab. The Hirer(s) has permission for repairs or replacement of parts at a cost up £100. Northern Motorhome Adventures’ approval must be obtained in respect of repairs or replacement of parts at a cost in excess of this. The money will be refunded on production of a valid receipt. Northern Motorhome Adventures is not responsible or liable for any consequential loss or expense subsequent to a breakdown or accident, although a refund of each day’s hire charge will be refunded for each full day's loss of use of the Motorhome due to mechanical breakdown. FUEL & GAS A full tank of diesel is supplied at the start of your rental and the Hirer(s) is responsible for returning the Motorhome with a full tank. Any shortage will incur a charge. Two gas cylinders are supplied – one connected will be part full and a second one full. Further gas requirements are the responsibility of the Hirer(s) who should ensure that any replaced bottles are the same size and fitting and returned with the Motorhome. MILEAGE Mileage totalling more than 175 miles per day for the duration of your hire will be charged at £0.40 per mile. SMOKING is not permitted in the Motorhome and any infringement of this condition will incur a minimum charge of £200. USE OF MOTORHOME The Hirer(s) must not take the Motorhome outside the mainland of Scotland, England and Wales. The Motorhome must not be driven with more passengers than the seat belt capacity of the Motorhome. It is the Hirer(s)'s responsibility to ensure that appropriate child seats are used in the Motorhome if carrying children. The Motorhome must not be driven in restricted areas, off road, on unsurfaced roads or on roads unsuitable for the vehicle; be driven when it is overloaded or when loads are not properly secured; be submerged in water, make contact with salt water or driven through a rotary car wash. The Hirer(s) must ensure that the Motorhome and its contents are used in a proper and careful manner for social and domestic purposes. In particular, the Motorhome is not to be used for or in conjunction with any race, competition or trial; for towing; for the carriage of goods or passengers for hire or reward, or any other form of profit or remuneration; or for the carriage of goods of an explosive, hazardous or illegal nature. The Hirer(s) is required to keep the Motorhome under his/her control throughout the rental period. The Hirer(s) undertakes to keep the Motorhome locked at all times when unattended.
