Booking and payment options We ask for a deposit of £120 to guarantee a reservation. The remaining balance due 6 weeks prior to collection date. If a booking is required within 6 weeks of the pickup date, full payment is required at the time of booking. We offer several payment options, but the preference is via bank transfer. This is to save on payment fees, and thus keep our costs lower. This also avoids most payment and refund fees when there is a cancellation (if the bank transfers from and to the hirer are done free of charges or fees to Crest Wheels; read more details in the Cancellation policy section). You may also be able to pay by card, PayPal and other payment methods (e.g. via cheque). No cash payments can be accepted because our insurer, Allianz, requires a traceable form of payment. This is safer for both parts. Payments with certain types of bank cards (such as American Express, or cards from foreign banks) may incur extra fees for Crest Wheels, which will be passed onto the hirer. Hirers will always be informed and will have to agree in order to proceed. Where possible, Crest Wheels will always endeavour to offer alternative payment methods. Following payment of the booking, all hirers will be asked to provide a security / damage deposit, ideally a few days prior to collection of the vehicle, or when picking it up. Crest Wheels will attempt to take this as a ‘hold payment’ (also known as a ‘pre-authorisation’) on a credit or debit card, so that there is no actual payment (the monies are just ‘reserved’ - meaning that they re) Again the preferred payment method is bank transfer, but other payment methods can be discussed. A reservation is only valid once BOTH the Booking total AND the Security deposit are paid in full. More detailed information about the security deposit is presented in the section ‘Security / Damage deposit’. When paying for the security deposit or for a booking by bank transfer the hirer is responsible for the correct and timely processing of the payment. Late payments may result in the cancellation of a booking. Unless otherwise agreed, all payments via bank transfer will be completed (meaning they will have arrived at the Crest Wheels’ bank account) within these timeframes: For BOOKINGS: within 3 days of the hirer being sent instructions to pay. For SECURITY DEPOSITS: within 3 days of the hirer being sent instructions to pay. Crest Wheels will always provide the hirer with a unique payment reference for all payments, including the security deposit. The unique payment reference MUST ALWAYS be included in all payments. Invoices will be sent electronically, via email. Alternative methods may be arranged on request. NO BANK TRANSFER WILL BE ACCEPTED WITHOUT A PAYMENT REFERENCE PROVIDED BY CREST WHEELS. The details of the bank account to which monies need to be paid into are: Bank Starling Bank Name on account Zoomkind Investments Ltd Sort code 608371 Account number 5576912 Some banks may also ask for these details (e.g. international payments): IBAN GB66SRLG60837105576912 SWIFT/BIC SRLGGB2L All prices are quoted and charged in £ (GBP). A reservation is only binding after it has been paid in full and confirmed by Crest Wheels. Crest Wheels’s cancellation policy applies from this point onwards. Crest Wheels cannot incur any extra cost or fee charged by the hirer’s bank, or charged by any other payment processor. Crest Wheels are not responsible for any fluctuations in exchange rate or international banking fees imposed by the renter’s bank which affect the final cost deducted from the renter’s bank account. Vehicles will not be released without full payment for BOTH the booking AND the security deposit being received. Crest Wheels will activate instructions for the refund of the security deposit within a maximum of 24 hours after a motorhome being returned, provided that all conditions are met. Read further details in the section ‘Security / Damage deposit’. 2. Cancellation Policy The rules below apply for direct bookings with us, via our website www.crestwheels.com or using any other direct means of communication. Note that for bookings via other platforms and websites where we advertise the motorhome (such as Airbnb or Yescapa) their cancellation policies will apply, and not these set out below. Cancellation by the hirer In the event of a cancellation by the hirer the following charges shall always be incurred, and taken from any refund amounts: An administration fee of £30 charged for the processing of all refunds. Any transactions fees that our or the hirer’s payment suppliers and/or banks may charge Crest Wheels for receiving payments and refunding them (including deposits, remaining balances, or payments of bookings in full). Transaction fees are not refunded to us in the case of a cancellation, that is why we need to charge for them. They apply to payments via credit and debit card and PayPal (and are usually between 1.5% to 3%), and in some cases also apply to bank transfers (particularly if from/into foreign banks or accounts in foreign currencies). You will get the following amounts refunded (minus the admin charge and any transaction fees as per the above): Full refund of all payments when cancelled 28 days before arrival or earlier. 80% when cancelled 21 days before arrival or earlier. 50% when cancelled 14 days before arrival or earlier. No refund will be given if the hirer cancels 13 or fewer days before arrival Customers are advised to check their own travel insurance policy in the event of a cancellation by the hirer. In the event the hirer wishes to make changes to this contract, with regards to changing dates of hire or pickup/drop off location, requests should be made in writing, via email, and agreed by Crest Wheels and the hirer. Amendments to reservations will be accommodated where possible and are subject to availability and any increase in price. Crest Wheels reserve the right to apply a charge of up to £45 as an administration fee to process changes required by the hirer. This is to cover expenses such as banking fees for cancellation of payments, re-sending of invoices and new payments, changes in insurance details, and the time incurred with these. In the event of any damage to the vehicle regardless of fault. The vehicle is not returned at the agreed date or Crest Wheels reasonably believes the vehicle will not be returned on the agreed return date. Crest Wheels considers on reasonable ground that the safety of passengers or the vehicle is in danger. The hirer understands that, in the event of any such termination or repossession - before or during a rental - the hirer has no right to a refund or any part of the rental charges or the security deposit. Crest Wheels shall not be contractually obliged to find a replacement vehicle in case none of their motorhomes are available, and in exceptional circumstances may have to cancel the booking. In the event of an operational issue with a motorhome that is not solvable in time for a rental, Crest Wheels will have to cancel the booking and refund all monies to the hirer. Please note that the liability of Crest Wheels is limited to the refunds of all monies paid by the hirer after any expenses and rental time has passed, or any admin or other fees payable by the hirer. We also offer European cover, for which RAC appoint Opteven Assurances (formerly owned by RAC) as their operator. The cover consists of Roadside Assistance, Onward Travel and getting the vehicle home. The cover is valid in the United Kingdom and most European countries, with some exceptions and conditions. A full list of countries covered is included in the ‘Insurance Product Information Document’ provided by the RAC for its ‘Motor Breakdown Cover’, which will be supplied to the hirer and/or the first named driver. The policy also includes a contribution to alternative travel or emergency overnight accommodation, plus cover if a driver is medically unfit to drive. It does not cover mis-fuelling. For more information about the cover please read the ‘Insurance Product Information Document’ provided by the RAC for its ‘Motor Breakdown Cover’. This will be supplied by Crest Wheels. Cost of repairs All faults or damage to the vehicle must be reported immediately to Crest Wheels office or at the latest on return of the vehicle. The hirer will take all reasonable steps to properly maintain the vehicle whilst on hire including checking oil and coolant levels, tyre pressures and levels of batteries. The hirer acknowledges that Crest Wheels will reimburse the hirer for expenditure up to the amount of £50 reasonably incurred. Crest Wheels must be notified by telephone for repairs in excess of this amount. All expenditure must be authorised by Crest Wheels and valid receipts must be provided on return of the vehicle for reimbursement. Costs will not be reimbursed for any damage caused by hirer or caused by breach of this agreement. The hirer will be liable for any costs associated with the incorrect use of fuel. All Crest Wheels vehicles run on diesel. 10. Fuel policy (full to full) The motorhome is handed to the hirer with a full tank of fuel. The hirer is expected to return the tank full, otherwise a penalty will be applied, plus any expense with refuelling the tank back to the top. See all details of charges in the section ‘Security and damage deposit’. The fuel level will always be checked on return. 11. Security / damage deposit A security / damage deposit is required for every booking. Following payment of the booking, all hirers will be asked for a security / damage deposit, ideally a few days prior to collection of the vehicle (using a range of payment methods) or when picking it up. The amount is determined by the age of the driver and other conditions. Most drivers aged between 25 and 70 will be asked to pay a deposit of £1,000.00. The amount of the deposit will be agreed with each driver, and payment instructions will be sent. Please note that Crest Wheels reserve the right to increase the insurance excess, for examples in cases where our insurer requests a higher excess to allow drivers who may not fully meet their typical requirements. The method of payment will be agreed with each hirer, and an invoice / payment request will be sent with instructions. The hire is subject to a security deposit which covers both the insurance excess in the event of any first incident or reported incident and the proper return of the vehicle in same condition as it was let out to the hirer. In the event of any additional incident(s), a second security deposit will be required in order to continue with the rental. The deposit is fully refunded at the end of the hire, except in the following situations: Where the motorhome is returned in such a dirty condition that requires extra cleaning (variable charge, minimum £30). Where the motorhome is returned without the renter having: emptied the chemical toilet; emptied the waste water tank; filled the clean water tank (charge of £70). The motorhome is handed to the hirer with a full tank of fuel. The hirer is expected to return the tank full, otherwise a penalty and charge for missing fuel will be applied: £30 plus the cost of filling up the tank to full at the nearest petrol station from the motorhome storage place or other agreed return location. Where the motorhome is returned with damage that requires repairs either to the vehicle or to equipments and amenities, both in the interior and exterior (variable charge, receipts will be supplied). Where the motorhome is returned with damage that requires the activation of the motorhome insurance and payment of the insurance excess. Where the motorhome is returned late - see the section Hire period, collection and return for details. In any other situations, even if not fully envisaged in this agreement, where the owner is obliged to an expense related to the wrong or negligent use of the motorhome by the hirer, and any consequences of this use to the vehicle, the equipment or any third-parties. A £45 administration fee will be applied whenever the security deposit needs to be used. This is charged in addition to any costs for any loss or damage to the vehicle or any item contained within, in order to cover for time and any costs incurred with the use of security deposit funds; the arranging of repairs; the time to source replacement parts or new substitute equipment; and any other time and money spent by the owner because of a problem that requires the activation of the security deposit. The hirer irrevocably authorises Crest Wheels to deduct from the security deposit any amounts due to Crest Wheels arising out of this agreement. Crest Wheels will provide invoices as a proof of expenses arising with the need to buy replacement parts, equipment or any service fees due for repairs or any other expenses related to an activation of the security deposit. In the event of an insurance claim, regardless of fault, the security deposit will be retained until the insurers have settled the claim. Please note, this can be a lengthy process and is out of Crest Wheels control. All road tolls incurred in the trip are payable by the hirer. In the event that a toll has not been paid, a £45 administration fee will be charged for processing the relevant paperwork and the toll will remain the hirer’s responsibility. All faults or damage to the vehicle or equipment must be reported immediately to Crest Wheels office or at the latest on return of the vehicle. If the expense incurred is larger than the security / damage deposit In the cases where the security / damage deposit is not enough to over all expenses and charges due to the condition of return of the vehicle, due to any damage or accident, or any other situations that require the activation of the security / damage deposit, the hirer will be responsible for payment of such amounts that exceed the deposit. The hirer agrees to pay Crest Wheels for any additional costs over and above the security deposit value should damages exceed the security deposit value within 28 days of your hire. Refunding the security deposit Instructions to our bank for the refund of the deposit (or of any remaining part of the deposit after an expense is taken) will be promptly made within 24 hours of the vehicle being returned. Confirmation will be sent to the hirer. The security deposit refund should be in the hirer’s bank / account up to 28 days from the return of the vehicle because banks and payment suppliers may take up to 28 days to process this. This also applies if Crest Wheels take a pre-authorisation using a bank card, rather than an actual payment of the deposit. Pre-authorisations (a hold payment on a card) are not always available, and depend on both the ability of Crest Wheels to process these at the time (dependent on suppliers rules), and the type of card (and its balance / limits) presented by the hirer. 12. Motorhome systems Prior to the collection of your vehicle, Crest Wheels carry out a full inspection of all on-board components to ensure they function correctly. On collection, you will be shown how each component operates and what to look for if a system fails during the hire. Crest Wheels will do everything possible to resolve the issue without having to return the vehicle to the depot. However this may not always be possible and Crest Wheels cannot be held responsible should any loss of function happen. Crest Wheels will endeavour to fix any issues as promptly as possible, and will discuss potential solutions with the hirer. In such situations, Crest Wheels are not liable to refund any monies nor provide an alternative vehicle in case of an unexpected loss of function, which is out of our control. We will nonetheless discuss the best course of action with the hirer and, depending on the severity of the malfunction, may consider a change in period of hire and/or the attribution of a part-refund, or discount on a future booking. In the case of winter hire, Crest Wheels cannot be held responsible in the event of any damage or inconvenience caused by freezing conditions. This is the responsibility of the hirer. All faults or damage must be reported immediately to Crest Wheels or at the latest on return of the vehicle. 13. Use of the vehicle During the rental period, the hirer agrees that the vehicle will not be: Used for the carriage of goods of an explosive (except of gas cylinders), dangerous or hazardous nature. Used for the carriage of goods or passengers for hire and reward. Driven other than in a cautious, prudent and normal manner or used in a manner which could cause damage. Driven on any road surfaces other than sealed / bitumen roads. Driven in a prohibited area. Driven by a person under the influence of alcohol or drugs or with a blood alcohol level in excess of that permitted by law. Driven by a person who is unauthorised to drive the vehicle as set out under the heading ‘Driver details’ of the Crest Wheels Rental Agreement. Driven by any person who is not authorised by law to drive the vehicle. Used to carry more persons in accordance with the provision of seatbelts in the vehicle. Left with the ignition key in or on the vehicle or unlocked while it is unoccupied (invalidates insurance). Damaged by submersion in water or in contact with salt water. Used for any illegal purpose for any race, rally or contest. Used to tow any vehicle or trailer. I understand that Crest Wheels reserves the right at any time, at its sole discretion, to restrict vehicle movements in certain areas due to adverse road or weather conditions or any other reasonable cause. 14. Responsibility when an incident occurs In the event of any accident, loss or damage arising out of the use of vehicle including damage to a third party vehicle, the hirer will: Notify Crest Wheels on 0044 (0) 7846679319 within 24 hours of the event. Obtain the names and address of third parties and any witnesses and report the event to the nearest police station. Complete the Incident reporting form supplied in the vehicle. Not make any admittance of liability or make a settle offer to other parties. Assist Crest Wheels in handling any claim arising from the event. Acknowledge that the excess or other amount due in respect of any damage arising from an accident, loss or damage is payable at the time of reporting the event and not at the completion of the rental period, regardless of which party is at fault. Accept that no security deposit/excess will be refunded until the claim is settled. Pay any costs relating to a change of vehicle as a result of an incident regardless of which party is at fault. The motorhome is equipped with a sat nav system with a dash cam that automatically records what’s happening towards the front of the vehicle, plus sound. This is important in case there is an accident. Hirers will be shown how to switch it on and use it. By hiring the motorhome hirers and all named drivers agree that: They will always have the dash cam ON whilst driving; They will contact Crest Wheels in case they have any doubts In case of an incident, they will remove the data card from the dash cam and replace it with another extra card supplied by Crest Wheels, to avoid recording over video footage that may be essential to determine fault, for insurance purposes. 15. Violation of traffic laws and regulations Driver(s) are personally liable for all legal penalties and fees pertaining to any traffic violation infringements under the current Road Traffic Legislation applicable in the United Kingdom including Northern Ireland and the Republic of Ireland, and any other countries visited during the hire period. Crest Wheels will contact the customer after the rental agreement finishes if any traffic violation infringements are presented to Crest Wheels for your hire period. The driver(s) will be liable for all penalties and fees pertaining to any traffic violation that has been incurred during their hire period. Crest Wheels will notify the driver(s) and demand payment for an administration charge of £45 for each infringement incurred throughout the hire period which the hirer is liable for. 16. Other conditions of hire This Crest Wheels rental agreement is the sole contract for hiring the vehicle between Crest Wheels and the hirer(s), driver(s) and/or passenger(s). No refunds are payable by Crest Wheels for accommodation or other arrangements of the hirer where a hirer or passenger changes, cancels or seeks to vary this agreement. 17. Smoking Smoking is not permitted in any Crest Wheels vehicle. Crest Wheels reserves the right to impose additional cleaning charges should smoke be detected in the vehicle. 18. Pets Domestic animals are welcome. Crest Wheels asks hirers to act responsibly and avoid any damage to the vehicle or equipment, as well as to return the vehicle free of any dirt (such as hairs or paw prints) caused by pets. If a motorhome is returned with excessive dirt resulting - among other causes - from the presence of a pet, Crest Wheels reserve the right to take from the security deposit a minimum £30 cleaning charge, which may be larger depending on the level of cleaning required. 19.
