CENTRAL CAMPER HIRE POLICY AND RENTAL AGREEMENT This agreement is made between Central Camper Hire, whose registered address is 3 Faseman avenue, Coventry CV4 9RB, and the person(s) signing their acceptance of the terms within. Please read through all the terms and conditions carefully. Terminology A 'rental agreement' is the document read and signed by the customer on collection and return of the company's vehicle. Signing the agreement forms a contract between the customer and Central Camper Hire. 'The vehicle' The Central Camper Hire camper van. 'The customer/Hirer' The person responsible for the vehicle for the duration of the hire. 'Security deposit' sum which is held to cover any liabilities. 'Additional hire items' includes awning, chairs etc and any other product or device hired in addition to the camper van. Drivers Our insurance requires hirer to be named as main driver who will be the responsible person for the duration of hire but additional drivers can be added for a small surcharge. In accordance of the conditions set out by our insurance provider, all drivers must; Aged between 21 to 70 outside of these parameters you cannot hire a camper van from us. Held a full UK or EU license for a minimum of 2 years. Has not had license suspended for any period with the last 3 years Have no mental or physical disabilities which would interfere with their ability to drive. The vehicle must only be driven by you or any other person who has been authorised by us, for whom you have provided the driving license and personal identification information, failure to provide the accurate information may invalidate the insurance and render you liable for all the losses however sustained, including claims by third parties. The rental agreement will be held for up to 2 years following the hire period. You warrant that the information supplied to us in relation to this agreement is true and complete, You must inform us of any changes from the point of booking up until after the return of the vehicle, including but not limited to the number of points on a driver license. You must not drive the vehicle whilst under the influence of alcohol or drugs or any medication that advises against or that causes drowsiness. Bookings and payments Bookings are a minimum of two nights At time of booking a £125 non refundable booking deposit is payable, payments are to be made by bank transfer, unless otherwise agreed. The deposit payment confirms your acceptance to hire our vehicle which will be covered by our specified insurers and upon receipt this contract will have effect. The remaining balance will be due 24 hours before the rental period starts or the day of collection otherwise vehicle will not be released until full payment is made. Documents Driver license and identification required in advance of collection of the vehicle and again upon collection. This applies for each driver. You must present; Valid UK driving licence Two separate utility bills, providing proof of address dated within 3 months of hire date Security deposit A security deposit of £300 is payable 24 hours before the rental period starts or the day of collection. This security deposit is taken to cover; damages whether negligent, will full, accidental or otherwise to Central Camper Hires camper van and its fixtures, fittings or additional items. We reserve the right to retain; Any penalty charges incurred during the period of hire ( parking, speeding, Tolls etc ) Lost or damaged keys ( replacement keys will be charged at £ 150 ) per key Return by post of any items left will be charged at cost of postage plus administration fee of £10 A late charge of £50 per hour if van is returned after agreed drop off time, unless customer advises in advance. A fuel refill charge of £20 plus the cost to fill the tank, A receipt will be available on request. A £50 valet fee if the camper is returned in an excessive unclean and untidy condition. Any fees for additional hire items or equipment, charge at the cost of replacing each missing item plus an administration charge of £20. A receipt available on request The full deposit if any evidence of smoking is found within the camper van, All camper vans are strictly NO SMOKING/VAPING If any damage is caused to the engine by customer's own actions, you will be liable for the cost of repair, This would include putting in wrong fuel, driving vehicle to hard under extreme load, driving to fast or ignoring warning lights, you are expected to take all reasonable steps to properly maintain the vehicle including checking tyre pressure and batteries every 300 miles. You must report to central camper hire as soon as possible if a warning light is indicated. You irrevocably authorise Central Camper Hire to deduct from the security deposit amounts due arising from this agreement. All transactions under this agreement are made in pound sterling. Security deposit will be refunded upon return of the hired vehicle, providing that the vehicle is return in the same condition that it was hired in. You will be given opportunity at the beginning of the hire to confirm the state of the vehicle to which the returned condition will be expected. Payments refunded by bank transfer can take up to 28 days. Cancellations In the event of a cancellation the following applies; cancellation 20 days before hire period starts - 50% of the hire fee will be payable Cancellations 7 days before hire period starts - 100% of the hire fee will be payable If you change the date of your booking, we will only honour booking deposits for a period of 1 year from receipt after which time the booking deposit is forfeited and will not be return to you. the booking can only be changed twice, and the cancellation notice above still applies. In the event that the hire vehicle is unavailable for reason beyond the control of Central Camper Hire, such as vehicle has been damaged in accident or is undergoing urgent mechanical repairs then we will endeavour to find a replacement, offer alternative dates, or provide full refund. Insurance Central Camper Hire provides fully comprehensive insurance to those named on the rental agreement only and those named are only persons insured to drive the vehicle. In the event of a claim relating to damage to the vehicle or third party, fire or theft the hirer is responsible for a standard excess of £1000 which is due in each and every incident. You are advised to take out your own personal travel insurance to cover items not part of the insurance provided. Accidents In the event of an accident, the customer must comply with the ROAD TRAFFIC ACT 1988 SECTION 170 and: Complete the accident report form which can be found in the glove box of each vehicle Notify Central Camper Hire as soon as possibly Obtain the names and addresses of any third party and witness Note the registration number, insurance details of any third parties Take photographs of any relevant evidence where possible Make no admission of liability or offer settlement payments to other parties Assist Central Camper Hire in handling any arising claim Agree to indemnify Central Camper Hire if any third party suffers death, personal injury or damage to property caused by use the vehicle that involves a breach by any driver, of any of the terms and conditions of this agreement, or the terms of Central Camper Hire insurance policy Breakdowns Should the vehicle breakdown the customer must: Not attempt to carry out their own repairs regardless of expertise Call the correct breakdown service as detailed in handover Notify Central Camper Hire as soon as possible If the vehicle must be recovered, you must hand over the keys to the recovery driver and not abandon the vehicle. If you abandon the vehicle you will be liable for the costs of getting the vehicle back to Central Camper Hire plus any damage caused to the vehicle as a result of it being left. . Central Camper Hire do not accept liability for any costs arising from accident, breakdown or any other cause, such as replacement vehicle costs or accommodation. Central Camper Hire will endeavour to offer a suitable replacement vehicle or refund lost hire days If the breakdown is caused by negligence, you will be responsible for any recovery costs or repairs incurred and will not be refunded for the hire time lost. Our Responsibilities Central Camper Hire are responsible for; Maintaining the vehicle to a high standard and ensuring that the vehicle is roadworthy, clean, suitably equipped and ready to rent at the start of the agreed hire period Providing a handover showing the customer how to use the vehicle safely and correctly prior to departure Ensuring vehicle is fully insured Providing breakdown cover Customer responsibilities The customer is responsible for; Driving the vehicle in a careful manner in accordance with the law and as would be deemed acceptable Collect the vehicle for our CV4 9RB address between hours of 08:00 and 09:00 hours on day of collection Return the vehicle to our CV4 9RB address by 11:00 or if requested for an extra charge drop off at 16:00 hours on day of return Any damage to vehicle, it fixtures and fittings or additional hire items during the hire period and for advising Central Camper Hire of any damage, technical issues or any missing components which were originally supplied as part of the agreement Ensuring correct fuel is used during hire period and 1/4 filling tank on return looking after the keys Following all health and safety guidelines when operating the vehicle or using fixtures and fittings such as gas cooker, heating, rotating front seat, elevating roof, entertainment system whilst driving, water and waste disposal, parking and securing vehicle when stationary etc Supplying, fitting and using baby or child booster seat when necessary. You are legally responsible for obtaining and using a child or baby seat see www.gov.uk/child-car-seats-the-rules Informing Central Camper Hire of any accidents or breakdowns as soon as possible and logging all the relevant details on report forms in glove box Take good care of the other hire items to avoid additional cleaning or replacement fees, any reported issues will be charged at cost of repair or replacement if item cannot be repaired plus labour charges, receipt available on request. Customer must not; Allow vehicle to be driven by anyone other than named drivers who have gone through insurance approval Carry more than 4 persons in vehicle ( including driver ) Take vehicle abroad without permission Take vehicle to festival events without prior consent Use vehicle off road Tow other vehicle Over load vehicle or load insecurely Drive under the influence of drugs or alcohol Take animals without prior consent Smoke/Vape in vehicle or awing any evidence of this will result in a fee regardless of the cleanliness otherwise, we operate a strictly smoking/vaping policy Use vehicle for hire or reward Health and safety You must follow the health and safety guidelines when operating and using any equipment in the vehicle. the guidelines can be found in the handbook. Please use caution when using appliances Please ensure that the gas cylinders are attached correctly and gas is turned off when not in use, please do not leave naked flames unattended Please ensure the heater, all appliance, water pump are turned off while driving Please ensure the front swivel seat is correctly positioned before travelling and also that the pop up roof is securely fastened as any damage caused as a result of not following guidelines will be classed as negligence and you will be liable for costs. The fridge can be used whilst driving, however please ensure that it is powered by the leisure battery and not set to the van battery as this will drain the vehicle battery resulting in potential unnecessary breakdown. You are legally responsible for ensuring that appropriate car seats are used You can use barbecue provided if the site agrees or land which are staying on, however please keep at a distance of three meters from the van and awning when used and dispose of waste correctly We are not responsible for drinking water obtained from campsites Terminating the agreement The customer acknowledges that Central Camper Hire may terminate this agreement and repossess the vehicle at anytime, without notification to the customer, and that the customer will pay any reasonable costs of repossessing the vehicle in the event that: They are in breach of any terms of this agreement They have obtained the vehicle through fraud or misrepresentation The vehicle appears abandoned The vehicle is not returned on agreed date Central Camper Hire considers on reasonable grounds, that the safety of the passengers or condition of the vehicle is endangered Privacy policy We collect personal information from you when you make a booking such as name, address, email address and contact details to book the vehicle and required insurance. We will only share identity information with our insurance company as required.
