Eligibility Nobody else other than the drivers named on the vehicle appraisal/booking form are permitted to drive the hired vehicle. All named drivers must be between the age of 25 and 79, and must have held a full/valid driving licence for at least two years. The license must be clear of any endorsements or motoring convictions apart from 2, 3 Point convictions maximum, Other current endorsements may be accepted by prior approval. A copy of the front and back of the hirers drivers licence must be made available prior to the collection of the hired vehicle, The address and ID must be up to date and match the proof of address supplied. Any persons without a UK Licence (Not including licenses held in the E.U) are advised to contact us prior to booking to ensure our insurance will cover the hire. It does not automatically disqualify you from driving if you do not meet the previous mentioned criteria, but we shall need to refer you to our insurance company to check if they will offer insurance cover. We require an online licence check code to be provided, This can be done via the DVLA website and must be done prior to vehicle collection. You must provide a total of 2 proofs of address from the following: – 1x primary and 1x secondary, or 2x primary proof of address. Primary Proof of Address: Electricity, Water, Gas, Broadband/Landline, Council tax, TV license, Bank Statement, Credit card bill / statement, Mortgage statement, Polling card, HMRC self-assessment / tax credit. Secondary Proof of Address: Student loan, Shotgun licence, Payslip, Mobile Phone Bills, Pension letters, Car Finance Statement, Loan Statement, Property deed. An annual council tax bill will be accepted. All other documents must be dated within 90 days of the hire date. The address & name on your license must match both documents. We can only accept the above documents as proof of address. We require a cleared traceable security deposit of £500 to £1000 prior to the collection of the hire vehicle, This will be held in a secure account and returned upon return of the hire vehicle, subject to terms and conditions contained in this hire agreement. Bookings A 20% deposit of total hire cost is required at the time of booking to secure the dates requested. Payments can be made via bank transfer. Upon booking we require you to list all possible destinations and locations of which you wish to travel in the hire vehicle, and should you deviate from this, We ask that you update us. The booking deposit is not refundable and shall be deducted from the total hire cost. Any EU travel is subject to a £100 subsidiary fee added to the total booking cost. If you plan to travel outside the UK, you must inform us at point of booking as a VE103R document must be obtained by us prior to collection date to allow you to take the vehicle outside of the U.K. Please note we only accept payment via bank transfer. Credit cards, PayPal, Cash etc is not accepted. We allow an Unlimited mileage for UK travel and a Maximum of 3000 miles for European travel, Unless prior agreed in writing. A charge of £1.00 per mile will be charged for any mileage exceeding 3000 miles on EU trips only unless otherwise agreed in writing by Abergele Motorhome Hire in advance Cancellation of Bookings Cancellations must be in writing and confirmed by Abergele Motorhome Hire, Cancellations are charged as follows: More than 8 weeks prior to commencement of hire a full refund will be issued. Between 8-6 weeks prior to commencement of hire, Booking deposit will be forfeited. Between 6-2 weeks prior to commencement of hire, 75% of booking total will be deducted from payment. Less than 2 weeks prior to commencement of hire or not turning up, Full payment will be withheld. Abergele Motorhome Hire recommend you take out holiday insurance. Vehicle collection and return Collection is 3pm. Return is 11am. Unless otherwise prior agreed with Abergele Motorhome Hire. Failure to comply with these times will result in the hirer being charged and liable at the rate of £100.00 per hour as liquidated damages and being uninsured. This sum represents a genuine pre-estimate of our loss. No refund is given for early vehicle returns. While we will endeavour to make every effort to ensure the vehicle is ready at the agreed time, However circumstances may arise outside of our control where we can’t fulfil this request, We accept no liability other than the refund of any complete day or days lost. Payment Full payment is due, 30 days prior to collection of vehicle, If no payment is made before this date then the vehicle will be released for alternative hire, with the deposit being forfeited. For bookings within 30 days of the commencement of the hire period, Full payment at the time of booking will be required. We only accept Bank transfers for any payments. We do not accept credit card or cash payments. A damage excess/security deposit taken upon collection of the vehicle of £500-£1000 is required and is fully refundable upon safe return of the vehicle on the agreed date and time unless otherwise agreed by Abergele Motorhome Hire. If the vehicle is returned late, dirty or damaged in any way the cost to clean/repair will be deducted from the security deposit. Motorhome Equipment. Abergele Motorhome Hire will carry out a full Pre-Checkout Inspection (PCI) on every vehicle before the commencement of hire. The PCI involves testing every system on board the vehicle to ensure they are operating correctly. Should an onboard system fail during the hire duration, We will make every effort to remedy the fault as soon as possible, In some cases this may not be possible and as such, Abergele Motorhome Hire wont be held liable for such occurrence and won’t be obliged to refund any payment in lieu of equipment failure beyond our reasonable control. Availability If the Motor home previously booked by the hirer is not available due to, but not limited to, accident, theft, weather conditions, or any other reason or circumstance that would deem us unable to offer the vehicle for hire, then we will endeavour to find a replacement motor home of similar size and specification for the dates requested, if this is not possible then we will refund all monies paid immediately. Abergele Motorhome Hire will have no obligation whatsoever to reimburse costs associated with further travel plans such as campsites booked, events booked, travel booked or any other costs associated with further travel. Insurance All Motor homes are comprehensively insured for the named drivers during the hire period only as detailed on the booking form. A refundable damage/security deposit of £500-£1000 is payable upon vehicle pick-up via Bank Transfer. In the event of any insurance claim, the full deposit amount will be taken to cover our insurance excess charge. Any damage to the vehicle during the hire period that is not covered by an insurance claim will be deducted from the security deposit; this will include any loss/damage of equipment. The security deposit is £1000 for drivers aged 21-24 and 75-79 and £500 for drivers ages 25-74. Payable via bank transfer, Which will be returned within 48 hours of return of the vehicle, should all return conditions be met as outlined in this hire agreement. We reserve the right to allow inspection of the vehicle up to 48 hours after return, to allow time to check all the equipment and condition etc before returning the security excess deposit as outlined above. Any accident, damage or defect regardless of fault must be reported to Abergele Motorhome immediately by telephone on 07759550910. We ask that this is done to allow us time to replace any broken parts etc at the earliest opportunity. Damage to tyres and the windscreen is not covered by our insurance, and as such any damage or loss shall be at your expense, with expenses being deducted from the security deposit. Personal belongings aren’t covered by our insurance and as such, We recommend that the hirer takes out their own insurance to cover this. Driving by non-named drivers or late returns of Motor home renders the insurance invalid and the driver therefore committing an offence under the road traffic act. The Hirer will be solely responsible for any damages or personal injuries incurred and the full security deposit will be retained in such case. Limitations & Liabilities Abergele Motorhome Hire accepts no responsibility for replacement vehicle costs, travel or accommodation costs or any other loss claims arising from Motor home breakdown or accident. The Hirer: • Is liable for any cost incurred for speeding fines, parking fines, congestion charges or any other offences committed under the road traffic act regulations. • Agrees to abide by all local and national traffic rules and enforcements applicable to the vehicle hired. • Undertakes responsibility for the control of the vehicle on hire to you. • Is liable for any damage to the vehicle or contents during the hire period. • Shall not tow any trailer or vehicle behind the hired vehicle without prior permission from Abergele Motorhome Hire. • Shall not carry more passengers than the seating capacity of the vehicle, as defined in the vehicle specifications or allow the vehicle to be overloaded, 3.5 tons gross. • Shall ensure that the driver and all passengers required by law to do so shall, at all times when the vehicle is being driven wear the seat belts provided. • Shall not use the vehicle to carry passengers or goods for hire or reward. • Shall not, without written consent from Abergele Motorhome Hire, remove the vehicle from the UK mainland. Breakdown and Accidents In the event of a breakdown or accident, Recovery and repair (If possible) is provided by the RAC, Details of which are available in the vehicle handbook. Abergele Motorhome Hire authorise the Hirer to spend upto £100 on any necessary repairs and/or replacement parts as deemed suitable by technical consideration, and we will reimburse you against a valid VAT receipt. Any repair over £100 will have to be authorised by Abergele Motorhome Hire. Any breakdown, malfunction or damage that is deemed to be caused by hirer negligence is hirers responsibility and as such, Wont be covered by Abergele Motorhome Hires own recovery policy. In the event of any accident or loss or damage arising from the use of the vehicle, or loss or damage to the vehicle or any supplied equipment, the hirer will: •Notify us within 24 hours of the incident occurring. •Obtain the names and addresses of third parties and any witnesses and report the event to the nearest police station. •Complete an accident form as supplied by us. •Not make any admission of liability to other parties, settlement offer or any other like offer. •Assist us in handling any claim arising from any event, including providing all relevant information and attending court to give evidence. The hirer will pay for any costs relating to the delivery of a changeover vehicle as a result of an accident regardless of which party is at fault. However, if no vehicle is available or our insurers refuse to offer further cover, then the hire will end with no refund of monies being due from us. General The hirer hereby warrants that all information supplied by them to us in connection with their hire is true and best to their knowledge The motor home and its contents remain the property of Abergele Motorhome Hire at all times. The Hirer is not permitted to sub let, Borrow, Or otherwise allow any other person to use the vehicle hired. The hirer is required to keep the vehicle securely locked and alarmed at all times when it is left unattended, and to refrain from any action or omission which may prejudice Abergele Motorhome Hire rights to the vehicle. Abergele Motorhome Hire reserves the right to retain in part or whole the security deposit if additional cleaning or repair is required upon return of the vehicle. Abergele Motorhome Hire reserves the right to vary rates and conditions at any time. The hirer hereby acknowledges and agrees that: •We retain the title to the vehicle and its contents and that they possess the vehicle and its contents as a mere bailee only. •The hirer does not have any right to pledge our credit in connection with the vehicle and agrees not to do so. •They shall not agree, attempt, offer or purport to sell, assign, sublet, lend, pledge, mortgage, let on hire, or otherwise part with the personal possession of or otherwise deal with the vehicle. Compliance The hirer shall comply with all laws relating to the vehicle and use of the vehicle The hirer shall indemnify us against all liabilities, costs, expenses, damages and losses (including but not limited to any direct, indirect or consequential losses, loss of profit, loss of reputation and all interest, penalties and legal costs (calculated on a full indemnity basis) and all other reasonable professional costs and expenses) suffered or incurred by us arising out of or in connection with any breach of this obligation of the hirer including, without limitation, any damage to the vehicle, repairs required to the vehicle or loss of profit in respect of hiring the vehicle in the event of it being impounded by any authority. By indemnify, we mean the hirer undertakes to reimburse us or pay us directly for all those listed items. For these purposes, laws shall mean all local, national and directly applicable supra-national laws and regulations as amended, extended or re-enacted from time to time and shall include all subordinate laws and regulations made from time to time under them and all orders, notice, codes of practice and guidance under them. Vehicle Condition The hirer acknowledges delivery of the vehicle and its contents, free from defects or damage, other than as specified by Abergele Motorhome Hire on the vehicle appraisal form. Before the commencement of hire the hirer is advised to check the vehicle thoroughly before leaving the location of which the handover of the vehicle took place between Abergele Motorhome Hire and the Hirer. The vehicle must be returned in the same condition as when the vehicle handover took place, Including but not limited to the interior, Exterior, Appliances, Soft furnishings etc. Chemical toilets must be emptied, and sanitised before return of vehicle. Abergele Motorhome hire reserve the right to withhold £100 from the security deposit should the chemical toilet require emptying on return. Abergele Motorhome Hire reserve the right to make a charge of £100 from the security deposit should the vehicle not be handed back in the same cleanliness condition when handed over at the start of the hire agreement. Fuel, Fluids & Gas The hirer will be liable for any costs associated with any damage to the vehicle due to incorrect fuel used. The fuel tank will be full when the vehicle is hired and we expect the vehicle to be returned with a full tank also, Should the vehicle return with less than a full tank then this will be charged at £2.00 per litre of fuel required. The hirer will be responsible for the regular checking of oil and water levels, and the use of the correct type of fluids as disclosed in the vehicle handbook. Our vehicle is fitted with Exchangeable gas bottles which can be replaced at most fuel stations, the vehicle will be supplied with one full and one part full gas bottle which is included in the hire cost. If you require additional gas it will be at your own cost. Hirer Suitability Abergele Motorhome Hire has the right to refuse to handover the Motor home upon arrival of the hirer to any person who in our opinion is not suitable to take charge of the vehicle, due to any concerns we have for the safety of the vehicle, its occupants or other road users. Abergele Motorhome Hire will have no obligation whatsoever with regard to refunding any monies paid for campsites booked, events booked, travel booked, or any other circumstances surrounding forward travel. Vehicle keys Vehicle Keys must never be left in the vehicle if unattended. Vehicle must be securely locked and alarmed when unattended and keys should never be left unattended in the vehicle when not use. All reasonable measures must be taken by the hirer to ensure the safety and security of the vehicle. Loss of any key will result in a replacement charge of £400 and any other costs involved in the recovery of the vehicle due to key being missing. Vehicle Weight It is the hirer’s responsibility to ensure the gross vehicle weight does not exceed 3500KG when fully laden and must ensure contents are secure at all times, including all supplied accessories, Damage to vehicle interior due to insecure doors etc are chargeable. Pets Pets are permitted within our Motorhome, but are bound to the same conditions as outlined in this agreement. We request that hirers bring there own throws, blankets and beds etc to protect the furnishings within the vehicle. An additional fee of £25 will be added to the booking for any pets that are added. Smoking It is against the law to smoke in any of our hire vehicles. A charge of £250 will be deducted from the security deposit if customers are found to have been smoking in the vehicle. The full security Deposit will be withheld in the event that any damage is caused to the vehicle in relation to smoking. The Hirer agrees to take on the hire of the vehicle subject to the terms and conditions contained herein, I hereby acknowledge during the duration of the hire agreement I shall be liable for any offence for all fixed penalty notices under the Road Traffic Offenders act 1991, including any parking/ excess parking notices.
