VW Campers Cornwall - Hire Agreement Booking and availability We require a £100 deposit at time of booking for all bookings that are more than 4 weeks prior to the hire period, if the booking is less than 4 weeks before the hire period then payment in full will be required at time of booking. Your booking will only be valid when we are in receipt of your completed booking form and deposit or full payment if less than 4 weeks until hire period. We will then send you confirmation of your booking. If for any reason the van you hired is not available and a replacement cannot be found VW Campers of Cornwall will refund the full monies paid. Security deposit In addition to the cost of hiring Archie, you will need to supply a Security Deposit of £500 prior to the hire period. This equals the amount of the vehicle insurance excess and will be refunded upon completion of a vehicle inspection and its fixtures and fittings. The security deposit should be paid in cash or on-line bank transfer or Paypal. If paying by bank transfer or Paypal please send this 48 hours prior to hire as this must be cleared funds. A cheque may take three days to clear. We will endeavour to complete the inspection within 1 hour of you returning the vehicle. If there is any damage to either the interior or exterior including all fixtures and fittings we will inform you immediately, VW Campers of Cornwall will retain all or part of the security deposit to carry out the required repairs. If this is the case you will be informed in writing and a full invoice of any repairs carried out will be sent to the address provided at time of booking. We may also charge the hirer for any additional costs incurred. Cancellation Policy We reserve the right to cancel any booking at any time. In the event that VW Campers of Cornwall do make a cancellation all monies paid will be refunded unless the cancellation is made due to the hirer not meeting the required terms & conditions. If the hirer wishes to cancel the booking they must do this in writing. Cancellations made within the 4 weeks prior to the hire period the full balance will be forfeited, for all other cancellations only the deposit will be forfeited. We may at their own discretion refund deposits or full payments if cancellation is due to unforeseen extreme circumstances. Drivers All Drivers must hold a full current UK drivers licence (for a manual transmission) and have held this for more than two years. Drivers must disclose all accidents, claims, endorsements, convictions and disqualifications to us prior to signing this agreement as failure to so will invalidate the insurance. Drivers must not have more than 2 current minor endorsements (six points) on their driving licence at the time of hire. Drivers must be aged between 25 and 75 years of age and of good health. By good health we mean the drivers must not have any medical or physical conditions that will in any way impair their ability to drive. Drivers must have no more than one fault claim in the last three years. Only drivers that are stated in the signed rental agreement are permitted to drive the vehicle. All named drivers must have produced their photo driving licence together with paper counter-part and an additional proof of address (such as a utility bill less than 2 months old) on the day of hire. Failure to do so will mean you cannot drive the vehicle and the cost of the rental will be forfeit. We reserve the right to take copies of these documents for security purposes. Your driving licence must display your current address. Please bring a recent utility bill as proof of address for all drivers. Unfortunately Archie is allergic to cigarette smoke and pets. They make him very wheezy. Insurance – loss and damage The information that you give us at time of booking must be accurate and correct, if there are any changes between the time of booking and the time of hire you must let us know immediately, if you don’t this may invalidate the insurance, in this instance you will not be able to hire the vehicle and may lose your deposit. The insurance only covers loss/damage to the vehicle and its fixtures and fittings, it does not cover your personal items, and we recommend that you take out personal holiday insurance to cover any eventuality. In the event of damage to the vehicle the hirer(s) agree to pay a £500 excess. Collection and return For full week rentals Vehicles can be collected from us at 2.30pm on Saturday and must be returned by 10am the following Saturday. For Weekend short Breaks the Vehicle can be picked up from our site at 2.30pm on the Friday and must be returned by 10am on the Monday. For week day short breaks the vehicle can be collected on Monday at 2.30pm and must be returned to us by 10am Friday. Breakdown If during your hire period the vehicle breaks down it is the responsibility of the hirer to contact the AA (Full details can be found in the hand book) if the van cannot be repaired at the road side you must call us and the vehicle will be taken with the hirer and passengers to our local garage, if the vehicle cannot be repaired we will endeavour to supply another similar vehicle, however if no other vehicle is available VW Campers Cornwall reserves the right to end the hire agreement at time of breakdown. If this is the case VW Campers Cornwall will refund all remaining hire days not used but any days used will not be refunded. Area Restrictions We request that you remain within Cornwall. Late returns Our late returns policy runs at £50 per hour and you may no longer be insured to drive the vehicle after the times stated on you hire agreement. If due to unforeseen circumstances you may not make your required drop of time you must inform VW Campers of Truro immediately, even if you do this you may still be liable to the additional late return charges. Vehicle care and Fuel All vehicles will be supplied in good order, oil levels; water and tyre pressure will all be checked and topped up as required. By agreeing to these terms and conditions it becomes your responsibility to check and maintain your vehicle during the hire period, this includes checking that the oil, water and tyre levels remain the same during the hire period and you must top these up if required. Archie is an old vehicle and must be treated correctly, the maximum speed is 55mph but this should not be used as a target speed. You must not over rev the engine for long periods of time or do anything that will put the engine under unnecessary stress. The vehicle must not be driven off road at any time or through water. It is the hirer’s responsibility to ensure the correct fuel is used during the hire period, Archie runs on unleaded fuel. Any damaged caused by putting the wrong fuel in the vehicle will be charged to the hirer. Any damaged caused to the vehicle or any third party property will be the responsibility of the hirer. Our vans will be supplied with a full tank of fuel and must be returned with a full tank. Passengers No more than 4 people can be transported in any of our vehicles. It is the hirer’s responsibility to ensure that all passengers are suitably restrained using the seatbelts provided whilst the vehicle is in motion. By law children under the height of 135cm or under 12 years of age must be sat on a booster seat. It is the hirer’s responsibility to provide their own booster/ baby seat. Accident reporting If the vehicle is involved in an accident you must not leave the scene until you have spoken to the other party’s involved and exchanged details. You must never accept liability. The details you must give and receive are: Your name, the vehicle registration number, the insurance policy number (at the back of the handbook), our company details (name, address, phone number). You must inform us immediately and if necessary call the police. As soon as possible you MUST complete an accident report form which should be retained and given to us at the earliest opportunity. Security The vehicle must be secured at all times when parked and unattended. Any loss of items as a direct result of the vehicle not being secured will result in a deduction from the hirer(s) security deposit amounting to replacement value. If the vehicle is to be left unattended for any period of time, wherever possible the vehicle must be left in a well lit area such as a secure car park. Breaches of these Terms and Conditions Once signed, if you breach these Terms and Conditions we will have the right to terminate your booking and may require you to vacate the vehicle or return it immediately. A breach of these Terms and Conditions includes, failure to comply with our instructions regarding use of the van or health and safety advice. In the event of you committing a breach of these Terms and Conditions no refund of the fees you have paid will be returnable to you. You will also be liable for any costs incurred in returning the van to our premises. We reserve the right to change these terms and condition without prior notice.
